Finance & Admin Coordinator Hybrid Role with Growth

Finance And Admin Coordinator Black Ink Presents is seeking a highly motivated, high‑energy Finance & Admin Coordinator to support a fast‑growing team. This position reports directly to the CFO and is hybrid in‑office/remote. Black Ink Presents is a live‑entertainment company specializing in creative direction, design, and production management solutions for concerts, tours, special events, and immersive experiences. What You'll Do: Basic finance‑related tasks such as entering bills, bookkeeping duties, and finance data entry. Manage calendars, day‑to‑day scheduling, and other logistics for Black Ink executives. Act as the initial point of contact for new outreach and communications. Create and edit documents, reports, pitch decks, and presentations. Generate meeting agendas and maintain detailed meeting minutes/notes. Draft contracts, SOWs, and other agreements under guidance from the CFO & COO. Organize and manage digital filing systems. Assist clients with basic needs and general customer service. Basic project management. Data entry. Conduct research; compile and summarize information. Coordinate travel and accommodations for Black Ink staff. Other duties as assigned. Who You Are: Proven experience as a finance or administrative assistant, ideally in the live entertainment industry. Knowledge of office management systems and procedures. Positive attitude and ability to interact comfortably and effectively with team members at all levels and external partners. Ability to maintain highly confidential information. Ability to work independently and with minimal supervision. Ability to keep calm under pressure, prioritize effectively, and follow through on all assignments. Demonstrated organizational and interpersonal skills. Astute attention to detail. Excellent written and verbal communication skills. Self‑motivated, proactive, and resourceful. Problem‑solving and critical‑thinking skills. Ability to work on multiple projects and produce high‑quality work under tight schedules. Passion for and knowledge of live events. Willingness to work flexible hours. Proficiency in MacOS. Proficiency in Microsoft Office (especially Excel), OneDrive, Box. Additional software skills are a plus (QuickBooks Online, Adobe Creative Suite, Premiere, etc.). Bachelor's Degree preferred.
