Full Charge Bookkeeper

Position Overview Canvas Property Group is seeking an experienced and detail-oriented Bookkeeper to join our accounting team in the NYC office. Reporting directly to the Controller, this role is integral to the financial operations of our real estate portfolio. The ideal candidate has at least 5 years of relevant experience, a strong command of Yardi (preferred), and is comfortable working across multiple platforms, vendors, and bank accounts. This role will be involved in security deposit administration / compliance, accounts payable, tenant receivables, treasury, and property-level financial reporting. Key Responsibilities Tenant Security Deposit Accounting & Returns Manage tenant security deposits in accordance with NYC and NYS legal requirements. Reconcile tenant ledgers prior to distribution. Ensure accurate, timely security deposit returns (within 14 days), with full documentation. Open, reconcile, and close tenant-specific and property-level security deposit subaccounts. Align security deposit ledgers with actual bank balances and Yardi records. Serve as the primary point of contact for vendor inquiries and resolve discrepancies. Manage AvidXchange exceptions including duplicates, missing information, or incomplete invoice data. Process approved payments via AvidXchange and issue in-house checks. Collect W-9s and maintain up-to-date vendor records. Oversee utility vendor relationships and coordinate payments with internal teams. Collaborate with vendors to ensure smooth invoicing and payment processes. Treasury & Payment Management Execute weekly check runs and coordinate treasury functions with a focus on accuracy and security. Handle bank communications regarding stop payments, voids, and check verification. Upload and manage positive pay files, addressing bank exceptions as needed. Cash Handling & Reconciliation Scan and deposit physical checks, ensuring timely and accurate processing. Perform routine cash reconciliations for operating and security accounts. Assist in the production and delivery of timely financial statements to property owners. Track and report on the progress of financial reporting deliverables. Quarterback the organization for and support the preparation of regulatory filings, including TC201s and RPIEs. Systems & Property Onboarding Support onboarding of new properties into Yardi. Assist with account ledger maintenance and reconciliations related to tenant receivables. Training & Special Projects Train staff as needed on internal systems including AvidXchange, Yardi, and ClickPay/Bilt. Support tenant and property transitions with accurate accounting and documentation. Take on ad hoc financial projects assigned by the Controller. Qualifications 5+ years of bookkeeping, accounts payable/receivable, or general accounting experience, ideally in real estate or property management. Proficiency with Yardi is highly preferred. Experience with AvidXchange, ClickPay, or Bilt is a plus. Solid understanding of NYC/NY State security deposit laws and property-level accounting. Strong attention to detail, accountability, and organizational skills. Excellent interpersonal skills and ability to collaborate across teams. Strong technical proficiency and comfort with managing multiple platforms and workflows.
