The Accounting Manager Assistant plays a crucial role in supporting the financial and internal operations of a commercial interior general contracting company by managing bookkeeping and administrative tasks. Working within a small team and reporting directly to the Accounting Manager, this role manages receivables ensuring accurate and timely processing of invoices and account reconciliations, as well as assists Manager with insurance, licensing and account renewals.

Responsibilities

• Record daily transactions and journal entries into accounting software
• Verify contract amounts and process project billings ensuring accuracy and completeness
• Process incoming payments and update accounts accordingly
• Reconcile bank statements with general ledger accounts to ensure data accuracy
• Manage overhead payables to ensure accurate and timely payments.
• Enter financial data into relevant systems with attention to detail
• Support month-end and year-end closing procedures
• Maintain organized and up-to-date records of accounts receivable

Required Qualifications

• Proficiency in Microsoft Excel
• Strong data entry skills
• Experience with account reconciliation
• Excellent attention to detail
• Data entry accuracy and familiarity with spreadsheets and formulas
• Mathematical and analytical skills for reconciliations and reporting
• Organizational and time management abilities

Preferred Qualifications

• Entry-level experience in accounts receivable
• High school diploma or equivalent
