OFFICE SPECIALIST

Clerical Position

This clerical position involves more complex clerical tasks and may serve as the back-up timekeeper or LOGOS processor.

Duties include:

• Using a PC or terminal keyboard to type or generate memos, letters, reports, or other established formats for information and/or data.
• Inputting data, statistics, and/or other information to established formats; filing and retrieving documents, both manual and electronic.
• Using other common office machines such as typewriter, copier, tape recorder, fax, and calculator.
• Performing administrative support functions; serving as designated "timekeeper" or LOGOS operator; maintaining fleet database; procuring goods and services.
• Compiling expense and forecast data for budget preparation and management; submitting expense and/or revenue reports for accounting.
• Having substantial customer contact; attending meetings, taking and transcribing minutes or other records of meetings.
• Assisting in interviewing and selecting new office-based employees; training new employees in office procedures and routines.
• Providing guidance on quality and quantity of work within established lines of authority.
• Providing corrective instruction.
• Participating in performance evaluations.
• Performing other duties as assigned or required.

Minimum qualifications include:

1. High school or GED from an accredited institution.
2. Four (4) years direct experience in clerical/administrative support work which involves similar tasks and processes.
3. Knowledge of word processing and spreadsheets.
4. Knowledge of payroll, purchasing, budget, accounting, and paying document processes.

Physical ability requirements include:

• Ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds).
• Extended periods of time at a keyboard or work station.
• Visual perception and ability to communicate orally.
• Job must be performed with or without accommodations.

Work environment includes:

• Moderately quiet noise level.
• Ability to work under generally safe and comfortable conditions where exposure to environmental factors such as repetitive keyboard use, irate individuals, and intimidation may cause discomfort and poses limited risk of injury.
• Occasional but not regular subject to adverse environmental conditions including but not limited to, dust, chemicals, smoke, extreme temperatures, small spaces, heights, noise, hazards, and atmospheric conditions.

Travel may require occasional travel for training and updates as required for job duties.
