Senior Property Manager

The Senior Residential Property Manager is responsible for the overall management, operation, financial performance, maintenance, and resident relations of an assigned residential portfolio. This position provides leadership and oversight to ensure properties are professionally maintained, financially successful, compliant with applicable laws and company policies, and operated in accordance with ownership objectives. The Senior Residential Property Manager serves as a primary liaison between ownership, residents, vendors, onsite personnel, and internal departments and is expected to proactively identify issues, recommend solutions, and protect the interests of the property and ownership. Oversee the day-to-day operations of assigned residential properties. Conduct routine property inspections to ensure buildings, common areas, landscaping, parking areas, amenities, and grounds are maintained to established standards. Identify property deficiencies and coordinate corrective action in a timely manner. Maintain organized property records, correspondence, contracts, notices, inspection reports, and other documentation. Ensure property rules, policies, lease provisions, and community standards are consistently administered. Monitor property conditions and proactively identify potential operational, safety, maintenance, or liability concerns. Develop and implement procedures that improve property operations and resident satisfaction. Provide regular property updates and recommendations to ownership and senior management Serve as a primary point of contact for resident concerns, escalations, and complex property-related matters. Maintain professional and responsive communication with residents. Review and enforce lease terms, community policies, and resident obligations. Address lease violations and coordinate appropriate notices and follow-up. Oversee move-ins, move-outs, lease renewals, transfers, and other resident-related processes. Review resident complaints, maintenance concerns, disputes, and requests and determine appropriate resolution. Document significant resident communications and incidents. Work to resolve resident issues while protecting ownership's contractual and financial interests. Coordinate with legal counsel when matters require formal legal review or action. Monitor property occupancy, vacancy, lease expirations, renewals, and turnover. Work with leasing personnel to maintain occupancy goals. Review rental rates, concessions, renewal strategies, and market conditions. Monitor leasing activity and recommend adjustments when necessary. Ensure leasing practices and documentation comply with company policies and applicable Fair Housing requirements. Review applications and leasing documentation in accordance with established screening criteria and company procedures. Monitor upcoming vacancies and coordinate unit preparation to minimize downtime. Prepare, manage, and monitor annual property operating budgets. Review monthly financial statements, income and expense reports, budget-to-actual variances, and property performance. Investigate significant financial variances and provide explanations and corrective recommendations. Monitor rental income, delinquencies, operating expenses, utilities, maintenance costs, vendor expenses, and other property expenditures. Review and approve invoices in accordance with established authorization limits. Monitor accounts receivable and coordinate collection efforts on delinquent accounts. Assist with rent increases, annual budgeting, forecasting, and capital planning. Identify opportunities to reduce operating expenses without negatively affecting property standards. Provide ownership with accurate and timely financial and operational reporting. Oversee maintenance operations and ensure work orders are addressed appropriately and timely. Coordinate preventative maintenance programs for building systems and property components. Monitor recurring maintenance issues and recommend long-term solutions. Obtain and review vendor proposals and competitive bids for repairs and projects. Coordinate larger repairs, renovations, unit turns, and capital improvement projects. Monitor project schedules, budgets, workmanship, and completion. Conduct follow-up inspections to verify satisfactory completion of work. Maintain appropriate records for warranties, inspections, repairs, and major building systems. Assist ownership with developing short- and long-term capital improvement plans. Establish and maintain professional relationships with qualified vendors and service providers. Obtain competitive proposals when appropriate and evaluate pricing, scope of work, qualifications, and service levels. Negotiate vendor pricing and service terms when authorized. Monitor vendor performance and ensure contractual obligations are being met. Verify required licenses and insurance documentation when applicable. Address vendor performance issues and recommend replacement when necessary. Review service contracts and identify opportunities for improved service or cost savings. Maintain working knowledge of applicable federal, state, and local landlord-tenant requirements. Ensure compliance with Fair Housing requirements and company policies. Monitor property operations for potential safety and liability concerns. Document incidents, resident complaints, property damage, and other significant events. Coordinate incident reporting and insurance-related matters as required. Work with legal counsel, insurance representatives, and other professionals when necessary. Coordinate required inspections and assist with correcting identified deficiencies. Ensure required notices and documentation are properly maintained. Escalate significant legal, financial, safety, or liability concerns to ownership or senior management promptly. Prepare monthly management and property performance reports. Track occupancy, delinquency, leasing activity, renewals, maintenance, capital projects, and significant resident matters. Maintain accurate records of property inspections and follow-up items. Document significant conversations, decisions, incidents, and property matters. Maintain organized electronic and physical property files in accordance with company procedures. Ensure management records are complete, accurate, and readily accessible. Respond appropriately to property emergencies and significant incidents. Coordinate emergency vendors, maintenance personnel, residents, insurance representatives, and ownership when necessary. Ensure emergency conditions are stabilized and appropriate corrective action is taken. Document incidents and maintain supporting photographs, reports, invoices, correspondence, and other records. Follow up after emergencies to ensure repairs are completed and preventative measures are considered.
