Job Title Records Management Specialist Location Fort Meade, MD 20755 US (Primary) Category Information Management Job Type Full-Time Staff Education Bachelor's Degree Travel Security Clearance Required Secret Job Description Records Inventory and File Plan Support Assist with physical and electronic inventories of agency records, including hard-copy and electronic holdings. Enter and maintain inventory and file plan information in DISA records management systems. Identify, organize, label, file, retrieve, and track records and related documentation. Records Disposition and Transfer Support Assist in identifying records that have met their disposition date and support approved retirement, transfer, deletion, or destruction activities. Support the transfer of eligible records to a Federal records center and the timely transfer of permanent records to the National Archives and Records Administration. Prepare and process Standard Form 135, Records Transmittal and Receipt, and related scheduling and disposal documentation. Electronic Records and Repository Support Provide support for the setup, monitoring, and maintenance of records repositories and libraries in SharePoint Online. Digitize paper records and apply accurate metadata tags to electronic files in accordance with approved procedures. Apply appropriate access controls and handling practices for records containing personally identifiable information or classified information. Program, Training, and Administrative Support Assist with drafting and updating records management standard operating procedures, tip sheets, manuals, job aids, and initial responses to assigned action items. Support records management training by coordinating schedules, preparing materials, maintaining attendance documentation, and assisting with computer-based training updates. Respond to routine records inquiries and provide direct client support for filing, document maintenance, editing, and proofreading. Collect and validate program data and contribute to monthly status reports, briefings, project plans, compliance reviews, risk assessments, and quality-control activities. Job Requirements Knowledge of basic records and information management principles, including records inventories, file plans, retention, disposition, transfer, and electronic records management. Ability to follow established policies, schedules, standard operating procedures, security controls, and quality-control requirements. Ability to organize and accurately enter, maintain, reconcile, and report records-related data and metadata. Proficiency with Microsoft 365 applications, including Word, Excel, Outlook, and SharePoint Online, or the ability to become proficient quickly. Strong attention to detail and effective written, oral, organizational, research, and customer-service skills. Ability to work collaboratively with Government personnel, records liaisons, contractors, and other stakeholders in an on-site federal environment. Ability to handle sensitive information and comply with applicable federal records, privacy, information security, and classified-information requirements. No specific minimum number of years of experience is required. Education, training, internships, or relevant work experience that demonstrates the required knowledge and abilities will be considered. Preferred Qualifications Coursework, training, certification, internship, or work experience related to records management, archives, library science, information management, business administration, or a related field. Familiarity with National Archives and Records Administration requirements, the General Records Schedule, or Department of Defense records management policy. Experience with SharePoint Online, electronic document repositories, records inventory tools, or records transfer and tracking systems. Experience supporting a federal agency, Department of Defense organization, or other regulated environment. The salary range for this position is $70,000-$85,000 annually.
