Sales Coordinator

The San Francisco Peninsula Travel + Tourism Board Provide support to sales team Prepare sales reports for the Director of Sales. Prepare and distribute weekly and monthly sales production reports for sales meetings. Gather pick up report information from hotels, enter in CRM, and create report. Update and maintain the sales account database and assist with software upgrades and training. Log incoming RFPs in the CRM within established timelines. Coordinate trade-show registration and logistics for the sales team. Assist with sales FAM tours, including building detailed itineraries and name tags, and interfacing with hotel and other members for logistics. Duties include: Provide assistance to clients in the absence of a sales manager. Distribute non-room night leads. Assist partners with accessing the portal, as requested. Partner with the Marketing team as needed for promotions and programs. Answer and route phone calls (lead). Attend and participate in weekly sales meetings, staff meetings, mixers, sales training activities and other sales and DMO events, as needed. Provide assistance and appropriate data entry where necessary. Ability to travel for conferences, training, etc. Ensure any sponsorship payments are processed following the client’s event. Manage Convention Services Program: Work with Account Executive on recently booked clients. Serve as the primary liaison between meeting planners and local service providers (hotels, venues, transportation, caterers, AV, entertainment). Provide destination expertise; restaurant recommendations, off-site venue options, spouse/partner programs, local tours. Prepare and distribute welcome materials; amenity gifts with Administrative Assistant, attendee bags, signage, personalized itineraries, local guides. Respond and follow-up with all convention services leads in a timely manner. Maintain CRM records for all client interactions, leads and commitments.
