Contracts & Quality Control Specialist

The Contracts & Quality Control Specialist works hybrid in Tampa, requiring two in‑office days per week. Job Summary The Contracts & Quality Control Specialist collaborates with internal teams to manage client contracts and related initiatives. The role combines contract administration and quality control, ensuring accurate contract preparation, review, and implementation across internal systems. Essential Functions Contract Quality Review Review customer contract drafts in Ironclad (Contract Management System) to ensure accuracy of details such as entity, customer name, bill‑to‑customer, dates, fees, invoices, billing instructions, signature block, and other relevant items. Validate HubSpot deal records for account accuracy and project setup. Confirm SmartQuote pricing scenarios for approval and pricing accuracy before execution. Verify QuickBase project details to align with contract information. Assess draft amendments before issuance to existing clients for compliance with company policies and financials, recommending changes to the Contracts Manager. Contract Administration Record executed contracts and amendments in Workday Financials. Enter customer contract data daily via QuickBase integration for upload into Workday. Input amendment data using Enterprise Integration Builder (EIB) for Workday upload. Ensure billing schedules in Workday reflect accurate contract details and are ready for invoicing. Process fully executed amendment agreements and update contract, project, and billing records accordingly. Maintain an accurate register of all contracts, amendments, and cancellations. Cross‑Team Coordination & Process Support Provide timely support to the Contracts team, Service Delivery, Sales, Billing, and other business teams across contract development, review, and integration functions. Coordinate with the Contracts Manager to resolve contract and amendment queries, recommending resolutions based on risk assessment and policy compliance. Track discrepancies or administrative issues, identify trends, and report on areas needing policy or procedural review. Maintain knowledge of industry best practices in contract administration to support business teams. Knowledge, Skills, and Abilities Team player who thrives in a fast‑paced environment. Experience with Ironclad Contract Management System is a plus. Education, Work Experience, and Certifications Bachelor’s degree in accounting, finance, business management, technology, or a related field, or equivalent years of experience directly related to the duties and responsibilities specified. 2–3 years of relevant experience in contract administration, quality control, or a related operations role. Additional certifications in contract management or related fields are a plus. Travel & Work Arrangement The role may require annual travel for internal Service Delivery activities, including in‑person training, team meet‑ups, and strategy meetings.
