Job Title: Administrative Assistant (Temporary 2-4 months) Position Summary: The Administrative Assistant provides organized, responsive, and professional administrative support to the Executive Team. This position assists with scheduling, correspondence, meetings, documentation, data entry, purchasing, expense tracking, and day-to-day administrative operations. The Administrative Assistant serves as an important connection point between departments, employees, patients, community partners, and organizational leadership. The ideal candidate is dependable, detail-oriented, service-minded, and able to manage multiple priorities while maintaining confidentiality and professionalism in a fast-paced healthcare environment. Reviews work carefully for accuracy, completeness, and consistency. Identifies opportunities to improve administrative processes, workflows, and communication. Learns new systems, processes, and technology quickly and applies them effectively. Lead Innovation Uses technology and available resources to improve efficiency and streamline administrative processes. Supports the implementation of new administrative tools, systems, and workflows. Uses Microsoft Office and other organizational technology effectively to support daily operations. May utilize approved AI tools for appropriate administrative tasks such as drafting, summarization, organization, and workflow efficiency while maintaining confidentiality and organizational standards. Deepen Connections Builds positive working relationships across departments and levels of the organization. Communicates clearly and respectfully with employees, leaders, clinicians, patients, vendors, and community partners. Serves as a dependable point of contact for assigned administrative functions. Collaborates with team members to ensure information is shared accurately and in a timely manner. Contributes to a positive, team-oriented workplace culture. Key Responsibilities Provide day-to-day administrative support to assigned department(s), leaders, and staff. Manage calendars, schedule meetings, coordinate appointments, and assist with meeting logistics. Prepare meeting agendas, presentations, reports, spreadsheets, correspondence, and other documents. Take meeting notes and track action items and follow-up as assigned. Coordinate internal and external communications, including phone calls, emails, and written correspondence. Maintain accurate electronic and physical files, records, forms, and departmental documentation. Assist with purchasing, invoices, expense reports, credit card reconciliation, and other routine financial administrative tasks. Enter, update, and maintain information in organizational databases, spreadsheets, and other systems. Assist with onboarding, training coordination, department communications, and employee-related administrative activities as assigned. Coordinate supplies, equipment, service requests, and other departmental needs. Assist with special projects, events, presentations, and organizational initiatives. Monitor deadlines and follow up on outstanding tasks, documents, and requests. Serve as a liaison between assigned departments and other internal teams, vendors, and external partners. Maintain a professional and organized work environment. Perform other administrative duties as assigned. Qualifications Education & Experience High school diploma or equivalent required. Associate degree or additional education in Business Administration, Healthcare Administration, or a related field preferred. Two or more years of administrative, office, healthcare, or customer service experience preferred. Experience working in a healthcare, hospital, medical office, or public-sector environment is preferred but not required. Strong organizational and time-management skills with the ability to prioritize multiple assignments. Excellent written and verbal communication skills. Strong attention to detail and commitment to accuracy. Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams. Ability to learn and effectively use new software, databases, and administrative systems. Ability to handle confidential information with discretion and professionalism. Strong customer service and interpersonal skills. Ability to work independently while also collaborating effectively with a team. Demonstrated reliability, initiative, and willingness to ask questions when clarification is needed. Ability to remain calm, professional, and organized in a fast-paced environment.
