Description

This position supports the early learning department with preschool enrollment documentation and record keeping required through the ECEAP program. Effectively communicate with a variety of stake holders including offices managers, nurses, teachers, building administrators, early learning leadership team, community members, and families. Works independently, receiving minimum supervision and guidance.

  • Daily Start/End times: 8:30 AM - 4:00 PM
  • Anticipated Start Date: ASAP
  • Benefits--Medical/Dental/Vision through SEBB (School Employee Benefits Board) are provided for employees who work at least 630 hours per academic year.

SALARY: Level 6 on the Secretarial/Clerical Salary Schedule. Salary depends on experience in the same or similar position. Experience increments depend on experience in the same or similar permanent position within a Washington State public school.

Responsibilities

  1. Assist the building office manager in providing essential information collected during the enrollment process.
  2. Process preschool applications and registration documents.
  3. Maintain organized waiting list for incoming preschool students.
  4. Assist in compiling data for program reports to ensure compliance and efficiency.
  5. Assist in monitoring preschool student attendance and ensuring preschool rosters are accurate on a regular basis.
  6. Maintain essential preschool documents, records, and confidential files for children and families.
  7. Collect and report health information such as Hearing, Vision, Dental, and Well-Child Exams.
  8. Actively participate in school and team collaboration meetings, as well as other building and district gatherings as directed.
  9. Demonstrate strong oral and written communication skills within a team environment.
  10. Engage respectfully and effectively with diverse populations and families from varying social and economic backgrounds.
  11. Engage with families while collecting sensitive information and maintaining confidentiality.
  12. Maintain professional and ethical boundaries in all interactions with families and colleagues.
  13. Other related duties as assigned.
Qualifications
  1. High school diploma or equivalent; additional secretarial courses preferred.
  2. Minimum two years of recent office work experience required, School District or data processing experience preferred.
  3. Must provide a negative TB test (within the last 12 months) and proof of MMR immunization: immunity or certified exemption, required upon hiring.
  4. Must complete DCYF ECEAP training as needed. Willingness to attend all Early Learning specific trainings with the state when required to by the program.
  5. Ability to accurately type 40 words per minute.
  6. Basic level knowledge of general computer skills, including Microsoft office programs, spreadsheet programs, financial software (i.e., Intouch), single point of entry software, and student information system (i.e., PowerSchool) experience preferred.
  7. Demonstrated accuracy in record keeping skills.

  1. Work Schedule - Days and hours (listed above) are subject to change depending on program and district needs.
  2. Stipends, Leave Accruals and Holidays - Stipends, leaves and paid holidays are in accordance with the applicable collective bargaining agreement as negotiated.

    • Benefit eligible Spokane Public Schools employees and their dependent family members have access to free, confidential counseling, consultation and referral services through the Employee Assistance Program.
    • School District Employees participate in the Washington State Department of Retirement Systems (DRS) public pension plan. Employees can choose from a lifetime retirement pension plan or a hybrid pension and investment plan that contributes between 5% and 15% of wages to retirement. When employees meet plan requirements and retire, they are guaranteed a monthly benefit for the rest of their life from the employer-funded pension.
      • Employees can also participate in voluntary savings programs to increase retirement savings such as the DRS Deferred Compensation Program or by participating in a 403(b) retirement plan through the District's plan manager, OMNI.
