Systems Support Coordinator

Facilitate day to day use of the District's Computerized Maintenance Management System (CMMS) as a subject matter expert, and act as first line technical support. Conduct basic or intermediate CMMS software user training. Participate in the design and implementation of administrative and business processes and reports aimed at utilizing information efficiently to make decisions. Maintain and assist in the development of logical asset hierarchies and classifications, while supporting project teams and the planning office.

Responsibilities

  • Facilitates day to day use of the CMMS system by maintaining system securities; assisting users with setup of custom views and screens; performing data cleanup; overseeing and administering user processes that capture documents, photos and prints for the digital archives; and by supporting professional, trades and administrative staff with CMMS system related requests. Facilitates or administers the use of other software applications, as assigned.
  • As a subject matter expert, provide first level technical end user support for the Computerized Maintenance Management System (CMMS) and its interfaces with other District applications, such as financials, project management or data warehousing. Resolves problems or escalates issues to technical support staff. Identifies and resolves or escalates data integrity issues. Monitors requests and follows up to facilitate timely and complete issue resolution.
  • Generates routine and custom reports using a variety of reporting applications and provides information to management. Extracts data through predefined or ad-hoc query methods, organizes information, and summarizes for management decision making.
  • Assist the CMMS project lead or other process change leaders to coordinate upgrades and system expansion projects. Project examples include expansion of mobile technology and asset management. Provides input into business process design or redesign. Coordinate and communicate changes and change schedules with users. Conduct user testing, maintain test scripts. Participate in related software change/rollout processes.
  • Develop and conduct user CMMS or similar technical training for a variety of professional, trades and administrative staff at various locations. Coordinate and schedule internal training classes and develop or customize existing curriculum. Coordinate with external training vendors for upcoming classes, making arrangements for services, and developing or modifying training materials for District use.
  • Facilitate CMMS Standards decision making meetings and processes for the assigned utility operations area.
  • Maintain regular and predictable attendance: Perform related duties and responsibilities as required. Comply with District policies. Complete all required training. Maintain a working knowledge and comply with District safety procedures and specific safety requirements of this position, and those in accordance with applicable provisions of the Revised Code of Washington (RCW) and Washington Administrative Code (WAC).
  • As an essential function, drive a motorized vehicle while conducting business on behalf of the District.

  • Associate Degree in a business-related curriculum or equivalent from two-year college or technical school equivalent combination of education and experience. required.

Experience

  • 3+ years Experience in computer applications support, computer technical support, and in delivering classroom instruction is required.
  • Experience using Maximo and reporting software is preferred.

Skills and Abilities A fully skilled incumbent will have the following knowledge skills & abilities:

  • In depth knowledge of the District's Computerized Maintenance Management System (CMMS) and related software and interfaces.
  • Knowledge of structured query language (SQL) to extract data
  • Basic report design concepts
  • Fundamentals of drawing, graphic illustration, composition and layout, and photography in computerized systems
  • Working knowledge of District operations, policies and work practices.

  • To perform this job successfully, an individual is required to have advanced/expert knowledge of Maximo Order Processing and Maximo Asset Management; intermediate knowledge of Microsoft Outlook; Microsoft Excel; Microsoft Word; Microsoft PowerPoint; PC Hardware; General Office Equipment; SQL; Crystal reports; SQR3 report writer; computers; audio visual equipment and multi-media equipment. Basic knowledge of PeopleSoft Financials; PeopleSoft Time Entry/HRIS; Microsoft Access; Microsoft Project; Primavera; Servers; Heavy Equipment; Power Equipment; Illustrator; Photo Software; Adobe and Microsoft OneNote is preferred.
  • Must be proficient in reading, writing and speaking English.
