Surgery Scheduler – Obstetrics & Gynecology Office

Position Summary

We are seeking a highly organized, compassionate, and detail-oriented Surgery Scheduler to join our busy OB/GYN practice. This role is responsible for coordinating surgical procedures, communicating with patients, obtaining authorizations from insurance companies, and ensuring a smooth surgical scheduling process from start to finish.

The ideal candidate has prior medical office or surgical scheduling experience, strong communication skills, and the ability to manage multiple priorities in a fast-paced healthcare environment.

Responsibilities

• Schedule gynecologic surgeries and procedures with hospitals, surgery centers, and physicians
• Coordinate pre-operative appointments
• Obtain insurance authorizations and verify benefits
• Communicate surgery dates, instructions, and preparation details to patients
• Maintain accurate documentation in the electronic medical record (EMR) system
• Coordinate with providers, operating rooms, anesthesia teams, and hospital staff
• Ensure all required labs, imaging, consents, and clearances are completed prior to surgery
• Answer patient questions regarding scheduling and surgical preparation
• Manage scheduling changes, cancellations, and urgent add-ons efficiently
• Maintain confidentiality and HIPAA compliance at all times

Qualifications

• Previous experience in medical scheduling or surgery scheduling preferred
• Experience in OB/GYN, gynecology, women’s health, or surgical specialties strongly preferred
• Knowledge of insurance verification and prior authorizations
• Familiarity with EMR systems and Microsoft Office
• Excellent organizational and multitasking skills
• Strong phone etiquette and patient communication skills
• Ability to work independently and collaboratively with clinical staff
• High attention to detail and accuracy

Preferred Skills

• Knowledge of CPT/ICD-10 coding basics
• Experience working with hospitals and ambulatory surgery centers
• Bilingual candidates encouraged to apply
