Event Set Up Crew
Location: 402 W. Washington St., Room 140, Indianapolis, IN 46204
Work Arrangement: Onsite

Contract: 11/02/2026 – 04/23/2027

Schedule

Typically Monday through Friday, 8–9 hour shifts scheduled between 7:00 AM and 5:00 PM , depending on the event schedule. Weekend work may be required with minimal notice , based on event needs.

Position Overview

We are seeking an Event Set Up Crew professional to support the setup, breakdown, maintenance, and presentation of conference rooms, Statehouse event spaces, and related facilities. The ideal candidate will have hands-on experience moving furniture and equipment, preparing event spaces, providing excellent customer service, and working with audio/visual and sound equipment.

The position requires someone who can work independently, follow written and verbal instructions, respond quickly to changing event requirements, and troubleshoot equipment issues with limited resources.

Required Qualifications

• High school diploma or equivalent.
• At least 6 months of experience transporting and moving furniture and equipment in conference rooms or similar environments.
• Ability to effectively plan, organize, and prioritize work.
• Ability to perform physical tasks involving standing, walking, lifting, bending, twisting, stooping, pushing, and pulling.
• Ability to follow written and verbal instructions and work independently with minimal supervision.
• Strong customer service and communication skills.
• Ability to work flexible schedules, including weekends when required.

Desired Qualifications

• Excellent oral communication skills.
• At least 1 year of experience with sound, audio, and visual equipment .
• Practical knowledge of microphones, speakers, mixers, monitors, cabling, and related AV equipment.
• Experience with commercial-grade cleaning and floor equipment.

Key Responsibilities

• Set up and break down conference rooms and Statehouse event spaces according to event requirements.
• Transport, move, and arrange furniture and equipment using carts and other appropriate equipment.
• Set up specialized sound, audio, visual, and live-streaming equipment, including mixers, monitors, DVD players, mult boxes, microphones, speakers, podium equipment, and cabling.
• Troubleshoot audio/visual and sound equipment problems and make necessary adjustments or repairs to restore functionality.
• Review event worksheets, organize timelines, and plan room setups for Statehouse activities.
• Assess event locations and determine the equipment and furniture required.
• Gather and prepare all necessary equipment before events.
• Ensure doors are unlocked, lights are turned on, blinds are properly positioned, and event spaces are ready for use.
• Remove unnecessary equipment and furniture and return items to the appropriate storeroom.
• Keep conference rooms and meeting areas clean, organized, and presentable.
• Vacuum, dust, remove trash, and clean up catering debris following events.
• Reset event spaces within required timeframes, particularly during Legislative Session.
• Clean carpets as needed using commercial-grade floor scrubbers.
• Respond quickly to unexpected event changes and equipment issues.
• Serve as the primary point of contact during weekend events when assigned.
• Assist with maintaining inventory, conducting physical counts, and tracking supplies.
• Communicate and collaborate effectively with coworkers, state agencies, event staff, and the public.
• Lead other staff when supervision is unavailable.
• Assist and supervise Project Search interns on assigned projects and support training of new staff members.

Physical Requirements

This position requires continuous physical activity, including:

• Standing and walking throughout the Statehouse and conference center.
• Lifting and moving moderately heavy furniture and equipment.
• Pushing and pulling equipment and furniture on flatbed carts.
• Frequent bending, twisting, stooping, and reaching.
• Working primarily in a non-sitting environment.
• Performing manual tasks requiring moderate dexterity.

Working Conditions

• Primarily an indoor, climate-controlled work environment.
• Occasional outdoor work may be required.
• Minimal hazardous exposure; appropriate safety and working conditions are maintained.
• Work schedules may change based on event requirements.
• Weekend work may be required with minimal notice.
