We are seeking a detail-oriented and highly organized Accounts Payable & Compliance Administrator to join our Accounting team. This role is responsible for managing the full accounts payable process while supporting company compliance initiatives, vendor documentation, insurance tracking, licensing, and internal administrative controls.

The ideal candidate thrives in a fast-paced manufacturing environment, maintains strong attention to detail, and can effectively balance accounting accuracy with regulatory and operational compliance responsibilities.

Accounts Payable

• Process high-volume vendor invoices accurately and timely
• Match purchase orders, packing slips, and invoices
• Reconcile vendor statements and resolve discrepancies
• Prepare weekly Payable Aging report, pay bills via ACH and credit card payments
• Maintain organized AP records and digital filing systems
• Monitor aging reports and ensure timely payments
• Assist with month-end closing and AP reporting
• Communicate with vendors regarding payment status and account inquiries

Compliance & Administrative Duties

• Maintain vendor compliance documentation including W-9s, insurance certificates, and contracts
• Track business licenses, permits, and renewal deadlines
• Assist with OSHA, safety, and manufacturing compliance documentation
• Support HR and management with policy administration and recordkeeping
• Ensure adherence to company procedures and internal controls
• Assist with audits and provide requested documentation
• Maintain confidentiality of financial and company records

General Office Support

• Coordinate with purchasing, receiving, and operations teams
• Assist leadership with administrative projects and reporting
• Support continuous improvement initiatives and process efficiencies
