Medical Assistant

Essential Duties and Responsibilities: Work with youth, adult, and older adult clients (ages 5+) presenting behavioral health issues. Greet clients and family members during in-person visits; assist with check-in/check-out procedures, completion of intake paperwork, and overall, support a positive client experience to enhance client satisfaction. Schedule and confirm appointments, manage cancellations and rescheduling, and monitor provider caseloads in coordination with the office administrators As part of a client-centered, team-based care model, all clinical support staff may be responsible for collecting payments, processing copays, and assisting with insurance-related tasks. Take and record basic vital signs (BP, pulse, weight, height, temperature) as needed during in-person visits, in alignment with established protocols and under the direction of the PMHNP or supervisor as appropriate. Submit medication refill requests as directed by PMHNPs; ensure completion of refill-related paperwork and coordination with pharmacies to support timely medication access. Assist in gathering information for medication prior authorizations and submitting documents per insurance protocols, as directed by the PMHNP. Serve as the primary point of contact for answering Providents Psychiatric Services Clinical Support line, ensuring timely and accurate communication with clients, and directing clinical concerns to the PMHNP or supervisor as appropriate Monitor and manage administrative tasks related to lab orders, faxing, and EHR documentation tracking without interpretation of results or clinical review Coordinate communication logistics (i.e., sending forms, collecting signatures, scanning, and uploading documents) Maintain medication sample inventory and assist with supply ordering to ensure adequate stock levels, in coordination with the PMHNP or supervisor as needed. Respond to general client inquires via phone, patient portal, or email, escalating clinical concerns to the PMHNP or supervisor as needed. Prepare visit summaries, client reminders, and outreach for in-person vitals or documentation needs. Support client discharge and follow-up communication tasks as delegated by the PMHNPs or supervisor. Ensure timely organization documentation of all administrative interactions and coordination efforts in EHR. Provide backup coverage for front desk and intake duties when needed. Assist with assessment of client safety, creation of client safety plans, and coordination with emergency services in collaboration with the PMHNPs following Provident training on these topics Providing referrals and linking clients with additional services that support their treatment plan (i.e. Counseling Services Department, physical health screening, psychological testing). Responsible for timely and accurate completion of records in EHR, including collateral notes, outcome measures, and billing entries. Maintain and protect confidentiality and security of all organizational information gained in the course of performing job responsibilities, including but not limited to, financial and client information. Maintain a clean, organized work environment to provide comfortable and professional client care. Maintain compliance with HIPAA privacy and security standards. Actively participate in all agency and department education, training, and in-services to confirm understanding of new information or changes to established clinical policies and procedure Activity participates in team meetings and individual supervision. Record all services performed for accurate billing for services provided in compliance with all local, state and federal laws, as well as payor rules and regulations. Additional duties, as assigned. Supervisory Responsibilities: None Fiscal Responsibilities: None Working Conditions / Environment: Work hours fall within Psychiatric Services department hours (7:00 am to 7:00 pm Monday-Thursday, 7:00 am 2:00 PM Friday). In-person support is required on Tuesdays when most in-person appointments take place. This position primarily works out of Providents St. Louis City office, with the option of some remote work. Must be able to lift up to 50lb Reliable transportation to work at Providents multiple office location. The noise level in the work environment is usually low. While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand, walk, and sit. The employee is occasionally required to reach with hands and arms; climb or balance; and stoop, kneel, or crouch.
