Overview: The Alumni Coordinator is responsible for developing, implementing, and maintaining a comprehensive alumni program that supports ongoing recovery and engagement for former clients of the treatment center. This role fosters long-term recovery support, builds community connections, and strengthens the organization's continuum of care through alumni events, outreach, peer engagement, and relapse prevention initiatives. The Alumni Coordinator role is a hybrid role, with expectations of daily, full time presence in the facility unless attending scheduled meetings with referents in the field. 

The Alumni Coordinator works collaboratively with clinical, marketing, and admissions teams to maintain relationships with program alum and encourage continued participation in recovery-supportive activities. This position contributes to the organization’s mission of promoting sustained recovery and improving long-term treatment outcomes. 

Essential Duties and Responsibilities: 

• Follow all facility policies and procedures and conduct selves in a way conducive with Elevare Behavioral Health’s employee handbook. 
• Maintain a high level of customer service demonstrating versatility and flexibility with quick changes of priorities. 
• Coordinate daily schedule with supervisors to ensure physical presence at the facility to ensure engagement at all levels of care, unless meeting with referents in the field. 
• Supports early intervention efforts, helping to address concerns and encourage continued engagement in patients' recovery
• Maintain a welcoming and recovery-focused alumni culture that encourages continued involvement. 
• Develop and implement a structured alumni engagement plan to maintain connection with program alum. This alumni engagement plan should be approved quarterly. 
• Engage with active patients to create connections by facilitating at least 2 groups per week. One group must be specifically focused on patients discharging within the next 7 days, and preparation of the patients for integration into the alumni community. 
• Documentation of all groups and active patient engagement in the EMR within prescribed documentation timelines. 
• Organize weekly, quarterly and annual alumni events, including reunions, recovery birthdays, speaker meetings, community activities, etc. 
• Manage event logistics including venue selection, scheduling, and communications. 
• Maintain regular contact with alumni through phone calls, emails, text messaging, and social media platforms. 
• Vets and maintains listing of appropriate 12 step temporary sponsors. 
• Manage Alumni Apps and encourage alumni use. 
• Maintain an active alumni network and support community-building efforts. 
• Promote ongoing recovery by connecting alumni to community resources, support groups, and sober events. 
• Encourage alumni participation in 12-step programs or other recovery pathways. 
• Refer alumni who may be struggling to appropriate clinical or support services. 
• Maintain an accurate alumni contact database in accordance with HIPAA regulations. 
• Track alumni engagement metrics to include: Event participation Volunteer involvement Follow-up contact Work closely with clinical, admissions, and marketing teams to support continuity of care. 
• Provide alumni success stories and engagement updates to marketing initiatives (with appropriate consent). 
• Participate in interdisciplinary team meetings when appropriate. 

The Alumni Coordinator is responsible for maintaining compliance with all applicable regulatory and accreditation requirements including facility policies and procedures, patient confidentiality under HIPAA, and substance use treatment confidentiality protections under 42 CFR Part 2. The BHT must maintain professional boundaries and always uphold patient rights. 

• Develops and implements a structured alumni engagement plan, including weekly meetings, support groups, and speaker events, to maintain long-term connection with program alumni
• Facilitates groups for active patients — including discharge preparation and maintains regular alumni contact through scheduled calls, texts, emails, and social media at key recovery milestones
• Organizes alumni events such as reunions, recovery birthdays, and community activities, and connects alumni to 12-step programs, sponsors, and community recovery resources

• Bachelor’s degree in behavioral health sciences: social work, psychology, sociology or a related field preferred.
• High school diploma or GED required.
• One or more years of experience in substance use disorder or mental health treatment required.

Experience/Knowledge:  

• Familiarity using Alumni Apps, CRMs (Salesforce, Dazos), EMRs (Sunwave, KIPU) and Scheduling applications 
• Proficient in the use of Microsoft products: Word, Excel, PowerPoint, etc. 
• Knowledge of: Alumni programming, Community outreach, Recovery support services
