Boulder Care is hiring a Certified Medical Assistant for a hybrid role. We are looking for individuals who: Are authorized to work in the United States without the need for current or future sponsorship Have two years’ experience as a Certified Medical Assistant (active CMA or equivalent national certification) This is a full-time, hybrid position with a standard schedule of 34 hours per week : On-site: Tuesdays and Thursdays, 8:30 a.m.–1:30 p.m. ET (10 hours per week) Remote: Mondays, Wednesdays, and Fridays, 9:00 a.m.– 5:00 p.m. ET (24 hours per week) Candidates interested in working up to 40 hours per week have the option to add hours. We’re happy to discuss available scheduling options during the interview process. Candidates must be able to reliably report to their assigned in-person work location as scheduled. About the role The Medical Assistant, Clinic Coordinator supports Boulder Care’s clinical teams and patients through a combination of remote and in-person clinical support at our on-site Ohio Clinic, located in Northwest Columbus, just minutes away from The Ohio State University Airport. This role supports efficient patient care, clinical workflows, and coordination across the team. Key Responsibilities Support patient intakes, serve as a primary contact for patients, efficiently triage urgent medical or clinical requests to the Registered Nurse (RN). Assist with patient outreach, follow-up, care coordination, and clinical work queues. Support medication, pharmacy, lab, and other clinical workflows within MA scope. Maintain timely and accurate documentation in the Electronic Health Record (EHR). Partner with RNs, providers, and other care team members to support timely patient care. Assists with the operations and office administration as needed at our on-site Boulder Care Ohio Clinic on Tuesdays and Thursdays (hybrid model). Patient Care Support Intake Preparation: Proactively support new patients by completing necessary intake paperwork and preparation ahead of their initial clinical appointment. RN Support: Actively manage patient requests and follow up on tasks delegated by the RN team, prioritizing clinical flow efficiency. Documentation: Accurately enter and update patient demographics, medical history, lab results, and communication logs in the EHR. Pharmacy & Medication Logistics Pharmacy Resolution/Assistance: Resolve pharmacy questions and concerns from patients. Prescription Verification: Verify the successful electronic transmission of prescriptions, especially SUD medications, to the patient's preferred pharmacy. Pharmacy Communication: Serve as the central point of contact for pharmacies regarding prescription clarification, refill inquiries, and troubleshooting fill delays, escalating clinical questions to the appropriate staff. Lab & Testing Support Drug Screen Management: Support the ordering and tracking of lab tests from outside sources and accurately upload all results (including point-of-care test results) into the patient's EHR. Quality Assurance: Ensure all lab and testing documentation is complete, accurate, and ready for clinical review. Administrative & Compliance Scheduling: Manage the scheduling and rescheduling of patient appointments as directed by the RNs and Providers. Workflow Improvement: Identify bottlenecks and suggest improvements to care coordination workflows to boost efficiency and patient experience. Compliance: Maintain strict adherence to all HIPAA, and relevant state/federal regulations governing patient data and Substance Use Disorder (SUD) treatment. In-Person Clinical Support Support patient intake, rooming and clinic flow. Prepare clinical spaces, supplies, and equipment for patient care. Support appropriate MA-level clinical tasks, within scope. Provide onsite support to patients, providers, and other clinical team members. Support Boulder-wide MA responsibilities and work queues when not actively needed for patient care. Follow all onsite clinical, safety, privacy and operational policies and procedures. Office Operations & Administrative Support When working onsite on Tuesdays and Thursdays, the MA will help support the day-to-day operation of the Boulder Care office or clinical site, including: Opening and closing the office according to established procedures, including ensuring the space is ready for patients and team members. Serving as an onsite point of contact for patients, visitors, vendors, and team members, including supporting check-in and following established privacy and office procedures. Managing office and clinical supplies, including monitoring inventory, restocking, organizing, and coordinating orders as needed. Maintaining a clean, organized, safe, and patient-ready environment throughout the day. Answering and returning phone calls and routing patient, pharmacy, provider, or other inquiries to the appropriate team member. Supporting incoming and outgoing mail, deliveries, documents, and other office communications as needed. Identifying and escalating facility, equipment, safety, or operational issues to the appropriate team. Supporting onsite providers and team members with day-to-day administrative and operational needs. Completing other office and administrative duties necessary to support efficient operation of the site. Requirements for the role Minimum of 2+ years experience as a Certified Medical Assistant Active, nationally recognized Medical Assistant Certification Certification must be held at the time of hire and maintained in good standing, including completing all required renewals prior to expiration To support a smooth transition, a 60-day grace period will be provided for employees to obtain or reactivate their MA certification, if needed Current CPR and First Aid certification , maintained throughout employment. Minimum of one year experience in navigating the behavioral health system, substance use treatment, patient advocacy, care coordination, crisis hotline, peer coaching, or other relevant experience as a liaison between patients and care teams Exceptional clinical skills working with a care team to achieve outcomes enriching people's lives by achieving sustained recovery, and the ongoing evaluation and iteration of our care model as the company grows Expertise in toggling between multiple platforms in a fast-paced remote environment Must be comfortable with technology and have experience with common business tools (such as G-Suite, video meetings, and spreadsheets) Extensive experience with scheduling and maneuvering through multiple schedules A passion for serving the needs of people with addiction and mental health challenges, using non-stigmatizing, non-judgmental person-first language Knowledge of terminology used in healthcare, especially addiction medicine Team-focused and collaborative. Advocates tirelessly for patients and Care Team members Nice to have but not required Experience working remote / telemedicine strongly preferred Previous experience with Substance Use Disorder and Harm Reduction Lived experience with SUD or AUD recovery (your own or a loved one) Bilingual in English and Spanish Preferred experience with ZenDesk Work environment Must be able to reliably report to the in-person work location as scheduled in Northwest Columbus (near the Ohio State University Airport). This is a hybrid role with both remote and in-person responsibilities. Employees will be required to work from an assigned Boulder Care office or clinical site up to 50% of their scheduled work time. Remaining scheduled time will be worked remotely in support of Boulder Care’s broader MA and clinical workflows. Dress Code Our workplace dress code is business casual, and scrubs are also welcome. Jeans may be worn as long as they are neat and do not have rips or tears. Offers will be based on several factors, including years of relevant experience, alignment with the role’s responsibilities, and internal equity across the team.
