Marketing & Events Coordinator

Coviance is looking for a Marketing & Events Coordinator to help bring our marketing programs, events, and customer experiences to life. This is a hands-on role that combines event coordination, marketing execution, and the operational work behind the scenes. You'll help keep our event calendar moving, coordinate with conference organizers and vendors, manage marketing materials and merchandise, build email campaigns, and make sure everything we need actually gets where it needs to go.

If you enjoy staying organized, juggling multiple deadlines, working with vendors, and don't mind packing a box or two when an event is coming up, this could be a great fit.

This hybrid role is based in the Des Moines, Iowa area and includes hands-on responsibility for event materials, merchandise inventory, packing, and shipping.

What You'll Do

Event Logistics & Execution

• Maintain the annual event calendar, including deadlines, registrations, sponsorship deliverables, shipping dates, and other key milestones.
• Serve as the primary point of contact with conference organizers for logistical needs and sponsorship deliverables.
• Track event assets and ensure booth materials are returned, inventoried, replenished, and ready for the next event.
• Coordinate lead lists and ensure event leads are properly routed to the Sales team for follow-up.
• Assist with tracking event performance, including attendance, leads generated, meetings booked, and post-event engagement.
• Coordinate occasional customer dinners, receptions, and other hosted experiences.

Merchandise & Print Materials

• Maintain merchandise inventory levels and proactively recommend when items need to be reordered.
• Coordinate with vendors on merchandise, print materials, signage, and event-related purchases.
• Manage fulfillment of customer, prospect, employee, and partner swag requests.
• Assemble and ship event kits, customer gifts, prospect packages, and other marketing materials.
• Help source and recommend new branded merchandise based on upcoming campaigns and events.
• Maintain an organized physical marketing inventory and storage area.

Campaign Execution & Marketing Support

• Build and execute pre- and post-event email campaigns.
• Support the creation and scheduling of marketing emails, landing pages, forms, and other campaign assets.
• Assist with list preparation, segmentation, and campaign setup.
• Support campaign reporting and help maintain accurate marketing performance data.
• Assist with other marketing projects and initiatives as needed.

What We're Looking For

• 1+ years of experience in marketing, event coordination, communications, or a related field.
• Strong organizational skills and excellent attention to detail.
• Experience coordinating events, conferences, trade shows, or similar activities.
• Comfortable working with vendors and managing multiple deadlines and deliverables.
• Strong written and verbal communication skills.
• Comfortable with marketing technology, email platforms, CRM systems, or similar tools.
• Ability to manage both planned projects and the occasional "we need this shipped tomorrow" request.
• Willingness to handle the hands-on side of the job, including packing, shipping, organizing inventory, and preparing event materials.
• Proficiency with Google Workspace.

You don't have to be an expert in everything on day one. We're looking for someone who's curious, learns quickly, communicates well, and takes ownership of getting things done. And yes, sometimes "marketing" means brainstorming the perfect campaign. Sometimes it means figuring out how to fit 14 boxes of booth materials into the shipping area. We need someone who's good with both.
