Mail & Delivery Services Representative

Role: This position will report to the Director of Member Payments Processing responsible for the daily objectives of incoming and outgoing mail processing for the Credit Union, interoffice courier bag management, managing interoffice mail, managing the BlazeFinder supply order system, review and process returned mail for the Credit Union as well as special projects and duties to help support effective department operation.

Job Type: Full-time, on-site at our administrative office in Falcon Heights, MN

Major Duties and Responsibilities

Manage and distribute interoffice and US mail delivery

• Manage overnight/priority mail distribution system
• Handle, distribute and account for interoffice deliveries through courier
• Handle, sort and distribute USPS incoming mail
• Process outgoing mail through postage meter and manage pick up with USPS
• Review billing/invoices for accounts payable for supervisor review
• Maintain postage meter equipment

Operationally manage the supply system through Business Essentials and Commercial Print

• Maintain the vendor relationship for internal supply inventory

Process and manage Returned Mail

• Process returned mail statements/notices in systems of record
• Sort and route department specific returned mail items

Fund and maintain electronic postage billing system

• Review balance
• Review invoices
• Communication with regional vendor

Monitor Courier/Delivery system

• Maintain professional communication with courier vendor for scheduling and maintenance needs
• Communicate changes/updates to branch staff if applicable
• Coordinate and setup of new locations with courier services

Handle special projects

• Monitor and service business printing hub when requested

Entrance and Loading Dock

• Manage deliveries and pickups through loading dock
• Manage virtual receptionist queue for lobby

Other Duties

• Comply with applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control

Requirements

Experience/Education/Certifications/Licenses

• Minimum high School degree or equivalent
• 1+ years of experience in a mailroom, facilities, or office operations role preferred.
• Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines.
• Ability to maintain accuracy and attention to detail when sorting, distributing, and processing mail and packages.
• Basic computer proficiency, including Microsoft Outlook, Word, and Excel.
• Ability to handle confidential information with discretion and in accordance with company policies.

Preferred Qualifications

• Experience processing returned mail or document tracking.
• Experience managing office supply inventories.
• Knowledge of mail handling equipment, postage systems, or inventory management processes.
• Previous experience working in a financial services, banking, or credit union environment.
• Preferred understanding of onsite mail distribution IE: sorting of mail to applicable team/location
• Preferred understanding of interoffice courier bag management or equivalent
• Ability to handle multiple tasks accurately

Communication Skills

Ability to interact/respond to members/staff politely based on a general ‘script’; written communications are templated

Physical Requirements

Ability to sit and stand; answer calls; operate computer; interact with internal staff and public on the phone; lift up to 40 lbs.

We are committed to providing salary ranges for all open positions. Please note that the specific compensation for this role will be determined based on your experience, qualifications, location, and internal equity considerations. The salary range for this position is: $21.00 -$23.00/hour. This range reflects the base salary for this position.
