40 Work Shift Job Description Job Duties: 25%- 1.1 Regulatory duties: operations of the medical and medical physics residents, fellows, medical student clerkship participants, and the medical residency program director (PD), medical physics residency program director and medical student clerkship director. Craft, compile and submit reports to the GME office, ACGME, ABR and other professional organizations as required. Maintain personnel files on each resident, medical physics residents, fellows and students; maintain leave records, call schedule and evaluations. Oversees preparation of all ACGME site visits, itineraries and site visit manual preparation as needed. Maintain required records in ERAS, correspond with potential resident and medical physics candidates; arrange itineraries for medical and physics resident applicants, notify applicants of status; attend monthly GME resident meetings, monthly physics divisional and student clerkship meetings, quarterly PD/PC department meetings and monthly staff meetings. Ensure MedHub resident files are updated on a regular basis; ensure medical physics records are updated on a regular basis. Also responsible for coordinating and scheduling any visiting students with the College of Medicine and ensuring the visiting student evaluations are completed. Must oversee net new responsibilities and comply with regulatory assurances of CAMPEP (Commission on Accreditation of Medical Physics Education Programs) as an added responsibility. 20%- 1.2 Screening, recruiting and facilitating interviews and candidates for medical residency and medical physics residency programs. Provides direction and management of recruitment process for Radiation Oncology residents, fellows and medical students rotating through our clerkship. Facilitates the "matching" process with program directors of the residency programs. Oversees the on-boarding process for new medical residents, medical physics residents and students rotating through the Radiation Oncology medical student clerkship. 15%- 1.3 Oversees Workday functions for medical and medical physics residents Program Directors and medical student clerkship director. Completes expense reports to facilitate educational expenses, registration and travel expenses; reimburses medical and medical physics residents and for Program Director, Medical Physics Program Director and Medical Student Clerkship Director for expenses related to education, travel and other expenses via OurDay. As P Card holder, follows all University purchasing policies as well as the MUSC Purchasing Card Manual. This position must keep up to date on all expense reimbursement features in OurDay. Reconciles department purchasing card expenses in Works (Bank of America). Manages Time Keeper and Absence partner functions in MedHub for Medical Physics and Medical Residency Program Directors and Medical Student Clerkship Director; manage on-call schedule and rotation schedules using qGenda software for medical and medical physics residents. 15%- 1.4 Leadership/strategic planning: Preparation of Faculty Contracts, updating Faculty Data Base, faculty performance resident evaluation review packets, Department Annual Report, on-boarding and GME accrual. Manages Alumni Records; leads website and social media and promotional materials for departmental and education mission; resident program files management; leads the program to digitizing all archived files; manages, Resident activities/wellness activities; relationship building- Bi-Annual Internal Program Review. Establish, create, and implement a Report card based on data pulled from ACGME data, confirming PC and PD compliance with GME attendance, ACGME Survey data, CCC Milestones, APE, Well Being data from Surveys, Work hour submission, and then discuss data with PD to turn it into actionable change - use as a mid-year check-in with APE goals. 10%- 1.5 Maintain memberships for various medical and physics organizations for self and faculty and residents. Assist with travel preparation of all faculty and visiting professors for educational needs. Provides backup support reception services when Executive Assistant to Chair/receptionist is out of office. Assists with departmental events planning events. 10%- 1.6 Provides all administrative support to Physician Faculty Program Director, medical physics residency program director and medical student clerkship director including all missions in which they are involved. Assists faculty leadership with CME continuing medical education support needs, organize and attend at needed CME meetings and events, annual application and tracking CME and CEU credits at chart rounds, grand rounds and other educational activities as needed. 5%- 1.7 Perform additional duties as required by Medical Residency Program Director, Medical Physics Program Director and Medical Student Clerkship Director.
