Olympic College is currently recruiting for a Program Specialist 2 - SGOC. This role administers student leadership, governance, and engagement programs that foster student involvement, leadership development, belonging, and student success. The position coordinates the daily operations of Student Government (SGOC), Phi Theta Kappa (PTK), student organizations, and the food pantry, while providing operational, budgetary, and programmatic support to the department. Through advising student leaders, administering programs and budgets, coordinating campus-wide events, and ensuring compliance with College policies and applicable regulations, this position strengthens student engagement and contributes to a vibrant, inclusive campus community that supports student persistence and achievement.
Essential Functions
Provide administrative support for Student Programs, SGOC, and student-funded club members and club advisors.
- Recruit, hire, onboard, train, schedule, supervise, and evaluate student employees of the SGOC, Student Senate, and tenure committee in collaboration with the Director of Student Leadership & Engagement.
- Conduct regular coaching meetings and quarterly performance evaluations for SGOC and Student Senate student employees.
- Identify operational, funding, compliance, and student engagement issues affecting student programs, SGOC, and student-funded clubs, and provide recommendations to the Director of Student Leadership & Engagement.
- Facilitate the daily operations of the college's food pantry and related basic-needs programs to ensure inventory is maintained and operations run smoothly, identifying any improvements or needs to the Director of Student Leadership and Engagement.
- Collaborate with the Director of Student Leadership & Engagement and Mentorship & Intercultural Exchange Center's Program Specialist 2 to support Student Leadership & Engagement programs, leadership development activities, and annual campus events, including Welcome Week, Town Halls, Student Awards, leadership retreats, and other department-sponsored activities.
- Coordinate travel arrangements and complete required travel authorization and reimbursement documentation for SGOC, PTK, student clubs, conferences, and leadership activities.
- Serve as initial point of contact for students, faculty, staff, and community members regarding Student Leadership & Engagement programs, SGOC, PTK, and student organizations, identifying their needs, resolving, and/or routing more complex issues to the Director of Student Leadership and engagement.
- Monitor compliance, coordinate training with the Director of Student Leadership & Engagement to train student leaders on any updates to College policies, Services & Activities Fee regulations, Washington State requirements, and institutional procedures regarding local, state, and federal governmental processes. Civic engagement, advocacy, and legislative initiatives affecting higher education.
Coordinate with the Director of Student Leadership & Engagement to augment and deliver leadership training to student leaders and faculty/staff advisors.
- Advise student club officers and faculty/staff advisors regarding College policies, financial procedures, event planning, travel, risk management, and club operations.
- Coordinate with the Director of Student Leadership & Engagement to augment and deliver to SGOC officers and Student Senators on Robert's Rules of Order, Killian's Parliamentary Procedure, shared governance, leadership development, and College policies and procedures.
- Assist clubs and club advisors with coordinating with Accounting, Cashiering, Facilities, Security, Information Technology, and other College departments for events and fundraisers to ensure events run smoothly.
- Train & educate student leaders regarding local, state, and federal governmental processes, civic engagement, advocacy, and legislative initiatives affecting higher education.
Provide Budget, and Operational Support to assist the Associate Vice President (AVP) of Student Development & Engagement
- Monitor student club activities to ensure compliance with College policies, Services & Activities Fee (S&A) guidelines, and applicable state regulations.
- Evaluate organizational operations and recommend solutions to address procedural concerns, organizational challenges, and leadership transitions.
- Reconcile departmental Purchasing Card transactions and departmental operating budgets.
- Maintain accurate documentation to ensure compliance with state, federal, and institutional policies, procedures, and regulations.
- Compile monthly budget reports for departmental operating accounts and Services & Activities Fee allocations to assist AVP of Student Development & Engagement, the Director of Student Leadership & Engagement, and the Director of Finance with accurate tracking of funds.
- Assist the SGOC Director of Finance & Operations in monitoring Services & Activities Fee budgets to identify discrepancies and resolve directing complex issues to Director of Student Leadership & Engagement.
- Coordinate purchasing, receiving, inventory management, and reconciliation of departmental supplies, equipment, and program materials.
- Enter student stipends, reimbursements, purchase requests, and financial documentation in accordance with College procedures to ensure accurate payment.
- Develop, implement, and evaluate student engagement initiatives designed to increase student participation, leadership development, and retention.
Lead the Olympic College chapter of Phi Theta Kappa by guiding officers in planning and coordinating chapter meetings, service projects, academic initiatives, leadership development activities, and recognition programs.
- Assist in planning and coordinating chapter meetings, leadership activities, service projects, recognition events, and academic programming.
- Advise and support PTK student officers in planning chapter goals, activities, and leadership development opportunities.
- Coordinate PTK membership recruitment, induction ceremonies, recognition events, and chapter communications.
- Monitor chapter compliance with PTK requirements, reporting deadlines, and institutional processes.
- Serve as liaison between PTK student leaders, college departments, and PTK regional and international representatives.
- Support student travel, conference participation, and leadership development opportunities as funding and policies allow.
In collaboration with the Communications department, Develop Communications and Marketing for Student Leadership & Engagement
- Develop communication to promote Student Leadership & Engagement programs, SGOC initiatives, PTK activities, student organizations, and leadership opportunities.
- Create and distribute marketing materials including digital signage, social media content, newsletters, websites, flyers, brochures, and event communications.
- Maintain SGOC / Clubs / Senate/tenure committee websites and online communication platforms.
- Prepare informational materials for leadership training, student organizations, events, and departmental programs.
- Communicate with students, faculty, staff, community organizations, and external partners using email, web platforms, social media, print publications, and digital communications.
Maintain Administrative Records and Ensure Program Compliance
- Maintain electronic and paper records related to student organizations, SGOC, PTK, budgets, travel, training, and departmental operations.
- Review, revise, and publish annual handbooks, operational procedures, advisor guides, and student leadership training materials.
- Compile reports, analyze program data, and prepare administrative documents for student participation, engagement outcomes, program utilization, budget expenditures, and assessment metrics.
- Document student participation, leadership development activities, and organizational performance.
- Recommend procedural improvements to the Director of Student Leadership & Engagement that increase operational efficiency and strengthen student leadership programming.
Assess SGOC, Student Senate, Tenure Committee, and PTK, and Recommend Continuous Improvement
- Collect participation, budget, and program outcome data for SGOC, Student Senate, tenure committee programs.
- Analyze student participation trends, engagement metrics, and leadership development outcomes.
- Evaluate programs using established learning outcomes and assessment measures.
- Prepare assessment reports and recommendations for the Director of Student Leadership & Engagement.
- Recommend improvements to SGOC, Student Senate, tenure committee, student organizations, and departmental operations based on assessment findings.
- Review initiatives to ensure alignment with departmental initiatives and institutional priorities, including student engagement, belonging, retention, Guided Pathways, and Achieving the Dream. Identify any discrepancies that do not align with the Director of Student Leadership & Engagement for revision.
