Facilities Representative

Position Summary

We are seeking a professional and organized Facilities Representative to support daily office operations, front desk activities, vendor coordination, and facility services. This role is responsible for ensuring a positive workplace experience by maintaining office functionality, managing visitors and vendors, coordinating meeting spaces, and addressing facility-related requests.

Key ResponsibilitiesFront Desk & Reception Support

• Serve as the primary point of contact for visitors, vendors, and employees.
• Manage visitor sign-in procedures and assist employees with lost or missing access badges.
• Receive and sign for incoming packages and notify recipients promptly.

Facilities & Office Operations

• Conduct daily office walkthroughs to ensure common areas, workspaces, and breakrooms are clean, organized, and operational.
• Identify and report maintenance, safety, housekeeping, or equipment concerns.
• Coordinate with appropriate internal teams and vendors to resolve facility-related issues.
• Monitor office amenities and help maintain a professional, welcoming work environment.

Vendor & Office Supply Management

• Coordinate and schedule vendors for repairs, inspections, office services, and other facility needs.
• Escort vendors while onsite and ensure work is completed as scheduled.
• Manage vendor onboarding, purchase orders, invoice processing, and receipt creation within procurement systems.
• Order and maintain office supplies, coffee service, vending support, and other workplace resources.

Service Request Coordination

• Monitor facility-related requests through email and ticketing systems.
• Triage incoming inquiries and route requests to the appropriate teams for resolution.
• Track and follow up on outstanding facility and operational issues.

Meeting & Event Support

• Coordinate conference room reservations and meeting space setup.
• Support large onsite meetings by managing visitor check-in, vendor access, and catering logistics.
• Ensure meeting spaces are organized before and after events.

Required Qualifications

• Experience in front desk administration, office coordination, facilities support, or workplace services .
• Strong customer service and interpersonal skills.
• Experience coordinating vendors and service providers.
• Ability to manage multiple priorities in a fast-paced office environment.
• Comfortable handling invoice processing, purchase orders, and administrative tasks.
• Strong organizational skills and attention to detail.
• Proficiency with Microsoft Office and web-based business applications.

Preferred Qualifications

• Experience with vendor management and workplace operations.
• Experience coordinating meetings, events, or conference room logistics.
• Basic IT troubleshooting knowledge and experience escalating technical issues when needed.

Pay and Benefits

The pay range for this position is $19.00 - $21.00/hr.
