Medical Assistant I - Institute of Urology Verdugo - Full Time 8 Hour Days (Non-Exempt) (Non-Union)

As a Medical Assistant, the incumbent will support medical care providers in an outpatient/clinic setting by preparing rooms and equipment, assisting with examinations and procedures, maintaining exam rooms, and documenting patient encounters in the electronic chart. The role also includes patient‑care duties such as recording medical history, taking vitals, performing diagnostic tests, and assisting with minor procedures. Administrative responsibilities encompass patient follow‑up calls, prescription refills, clinic and file preparation, appointment scheduling, billing submission, insurance verification, dictation handling, and maintaining provider workflow. The assistant is expected to work largely independently with periodic supervisory check‑ins. Essential Duties Clinical Duties Accurately document, record, and update patient medical history and information in electronic and/or paper records. Perform all necessary diagnostic tests to aid provider diagnosis. Conduct screening tests such as vision, EKG, and pulmonary function within scope of practice as ordered. Carry out laboratory duties including drawing blood, obtaining samples for testing, and performing urine and throat cultures as needed. Administer immunizations, injections, and medications within scope of practice and provider orders, following storage and handling policies. Assist physicians during minor surgical procedures by setting up instruments, responding to needs, and reprocessing instruments afterward. Process medication refill requests, including contacting pharmacies and determining the need for physician review. Accept training and use new technologies as required. Educate patients on medication usage. Manage daily schedule to ensure timely patient care. Maintain equipment and supplies for examination rooms, including managing medication dates and removing expired items. Clean and disinfect instruments and equipment routinely. Prepare supplies for diagnostic testing, exams, and procedures. Perform basic maintenance of all clinic equipment. Ensure instruments and devices are clean, functional, and sterilized when necessary. Order supplies as needed to keep rooms stocked daily. Consult with physicians about test results, alerting them to abnormalities. Report patient concerns, symptoms, reactions, and changes to appropriate clinic personnel. Serve as liaison between medical staff and patients, providing education and answering questions. Monitor and track work requests. Perform all tasks safely in compliance with organizational safety policies and regulations. Maintain confidentiality of all patient, physician, and employee records. Document and update all necessary patient information in the appropriate system(s). Provide technical support services where needed. General Administrative Duties Triage patient issues to achieve timely resolution. Resolve patient problems related to billing, test coordination, appointments, and medical records. Respond to patient messages and voicemails promptly. Make phone calls as requested by doctors or technical staff. Follow policy for cancellations and no‑shows. Maintain clinic/patient flow, balancing registrations, appointments, and non‑appointment activities. Liaise between outpatient clinics and administrative programs. Assist providers with schedule changes. Review active worklist(s) and address patient account needs. Maintain a neat, organized reception area. Ensure adequate levels of front and back‑office supplies. Abstract, scan, and catalog paper records into the electronic system. Participate in department huddles and team meetings. Demonstrate known service standards. Greet patients and perform check‑in/check‑out processes. Interface with medical records and scheduling systems. Verify and update demographic and insurance information. Confirm and obtain primary and referring provider details. Scan insurance/ID cards and explain consent/HIPAA forms, obtaining signatures when necessary. Ensure preauthorization is present and accurate for managed‑care patients. Collect co‑payments and fees via check, cash, or credit card, documenting as per protocol. Arrive patients using the proper registration system(s) and inform them of potential delays. Collate charts appropriately and perform patient encounters in the computer system. Schedule future appointments, procedures, ancillary testing, and enter recalls as indicated. Provide disposable dark glasses for patients who have been dilated. Make calls for patient transportation when requested. Maintain safety and confidentiality of all records and information. Perform additional duties or projects as assigned. Required Qualifications High school diploma or equivalent. Specialized/technical training. Graduate of an approved Medical Assistant Certificate/Diploma program. Proficiency with an electronic medical record (EMR). Ability to analyze clinical and administrative information and determine appropriate actions. Effective interpersonal skills with patients, staff, and physicians. Multitasking ability. Team‑work skills in a hospital operations/ambulatory services setting. Proficiency with Microsoft Word and Excel. Clear, concise writing, editing, and proofreading skills. Professional, effective work skills in a fast‑paced, high‑pressure environment. Knowledge of patient‑related testing equipment operations and maintenance. Accurate medical history acquisition skills. Strong organizational and follow‑up skills. Basic medical terminology and disease knowledge. Preferred Qualifications At least one year of experience in an outpatient or ambulatory clinic setting. Required Licenses/Certifications Basic Life Support (BLS) Healthcare Provider certification from the American Heart Association. Fire Life Safety Training (LA City) – must obtain within 30 days of hire and renew before expiration (required only in LA City). Hourly Rate $22.00 – $34.18 per hour.
