Lease Administrator

Position Overview The Removery Real Estate Lease Administrator will be responsible for all organization and management of rent payments and lease data (critical dates, options, etc.) for a corporate real‑estate portfolio consisting of approximately 150 retail locations and the corporate headquarters. Position Responsibilities Rent Management Ensure that monthly base rent and additional rent payments are completed accurately and timely. Coordinate with the accounting team to ensure correct coding for payments and landlords. Assist the SVP of Real Estate in building and tracking annual rent budgets. Create rent analysis reports using Excel and lease management software (Quarem). Audit annual operating‑expense reconciliations for retail locations to ensure accuracy and to achieve savings when possible. Collect, manage, and audit rent invoices. Lease Database Management Track critical dates (lease expirations, renewal options, termination options, etc.). Review all new leases and lease amendments and accurately enter the information into Removery’s lease management software. Create lease abstracts. Ensure all leases comply with Removery’s Real Estate standards. Review estoppels and SNDA’s to confirm accuracy and assist the Real Estate team with execution. Tenant Allowance Recapture Gather all appropriate data from the Construction Project Manager. Submit documents to landlords and track payment status. Maintain professional business relationships with all landlords and resolve lease/maintenance issues. File and organize lease documents, both physical and electronic. Prepare and update recurring portfolio status reports. Perform other duties as assigned. Position Requirements Bachelor’s Degree in a related field (e.g., accounting, business management, real estate) or 5–10 years of related experience, or an equivalent combination of education and experience. At least 2 years of experience in corporate commercial/retail lease administration. Working knowledge of the retail real‑estate industry with an emphasis on lease administration. Highly proficient with Excel (creating reports, analytics, managing and sorting large data sets). Experienced working with lease‑management software (ProLease, Lease Harbor, Tango, Quarem, Lucernex, etc.). Familiarity with retail lease transactions. Basic understanding of budgeting and corporate financial systems. Knowledge of all Microsoft applications including Excel, Word, and PowerPoint. Outstanding verbal and written communication skills at all organizational levels. Exceptional customer‑service skills. Ability to work effectively in a team environment.
