JOB POSTING JOB TITLE: HVAC O?ce Associate DEPARTMENT: Service POSITION OVERVIEW: The HVAC O?ce Associate is responsible for processing daily paperwork, providing customer service support, assisting with scheduling coordination, and performing various o?ce support functions. This role helps ensure the HVAC service and installation operations run smoothly and e?ciently. The HVAC O?ce Assistant plays a key role in maintaining organized records and supporting both ?eld technicians and o?ce sta?. DAILY PAPERWORK PROCESSING o Process and review daily technician timesheets for accuracy prior to payroll submission o Review daily work order notes for recommended repairs and parts requests and distribute them to the appropriate personnel o Organize and process equipment start-up documentation o Update and maintain equipment and job records in company systems o Ensure all service documentation is properly ?led and recorded CUSTOMER SERVICE o Respond to incoming customer calls and emails in a professional and timely manner o Assist customers with basic service requests and general inquiries o Communicate scheduling information to customers when needed o Maintain a high level of customer service and professionalism in all interactions ADMINISTRATIVE SUPPORT o Create work orders and purchase orders as requested o Assist dispatch and o?ce sta? with administrative tasks o Maintain organized electronic and paper ?ling systems o Manage and track parking permits o Support service managers and o?ce sta? with various clerical tasks o Assist with tracking open work orders and ensuring proper documentation is completed o Help coordinate communication between ?eld technicians and o?ce personnel QUALIFICATIONS o High school diploma or equivalent required o Prior administrative or o?ce support experience preferred o Experience in HVAC, construction, or service industries is a plus o Strong computer skills, including scheduling software o Excellent organizational and time-management skills o Strong written and verbal communication skills KEY COMPETENCIES o Attention to detail o Organization and documentation management o Customer service orientation o Communication and teamwork o Problem-solving and task prioritization o The ability to work in a fast-paced environment BENEFITS o Competitive pay o Medical, Dental, and Vision Insurance o Paid Time O? and Holidays o 401(k) Plan o Employee Stock Ownership Plan (ESOP) Capitol Mechanical Inc. is an Equal Employment Opportunity/A?rmative Action employer
