Assistant Office Coordinator

Back Bay Staffing Group

Great Opportunity To Work For A Growing And Successful Company!

Assisting Management With The Following:

  • Calling in a payroll for up to 75 employees weekly
  • Assist with QuickBooks data entry and processing
  • Invoicing clients and assist updating collections report weekly
  • Assist in positing ads
  • Organizing files and keeping up with office procedures
  • Opening the mail and sorting into appropriate folders
  • Keeping track of incoming bills and setting up autopays in bank account and writing checks
  • Assist with research for updates to social media, marketing, and candidate searches
  • Scheduling and calendaring, responsible for day to day calendar including reminders and implementation of bids for current clients, assist with preparation of proposals
  • Calendaring events such as luncheons, galas and tradeshows
  • Assist with the running of day to day operations

Skills:

  • MS Office skills, Outlook, Microsoft, Excel, PowerPoint
  • Some social media experience
  • Familiarity with accounting systems a plus, QuickBooks preferred
  • Familiarity with contact management database a plus
  • Good references
  • Positive attitude
  • Ability to prioritize and multitask
  • Ability to pick up multiple details quickly
  • Ability to absorb and retain a lot of information
  • Good people skills required
  • Excited to learn
