Program Support Assistant (OA)
VETERANS HEALTH ADMINISTRATION
Summary Incumbent serves as program assistant for Patient Care Services, actively participating in the management of a variety of technical and administrative functions. DIRECT HIRE AUTHORITY: This position is being filled using Direct-Hire Authority (5 CFR 337.205) for this occupation. Learn more about this agency Duties Help Duties include, but are not limited to:
- Prepares various reporting documents.
- Utilizing data obtained from a variety of sources, the incumbent independently calculates/computes, prepares, and distributes various reports and special analyses or review for use by the hospital and service administrative staff and program officials assuring accuracy, completeness and timeliness.
- Uses computer applications proficiently and manages hardware and software systems (including Microsoft Word, Excel, Outlook.)
- Provides primary support for service including coordinating communications for staff and patients/families; prioritizing messages and notifying staff appropriately for necessary action.
- Entering and retrieving patient/program data and assimilates reports.
- Manages inquiries and problem solves customer concerns, refers to program official as appropriate.
- Clerical duties such as timekeeping, faxing, filing, typing, using computer applications, coordinating meetings efficiently.
- Prepares minutes, exercising independent judgement to determine important aspects for appropriate inclusion or deletion.
- Maintains confidentiality of sensitive information at all time in accordance with medical center policy, directives, and other applicable requirements.
- Assumes responsibilities for other duties when assigned or required to support the organization's mission.

- To be considered for this position, you must complete all required steps in the process. In addition to the application and questionnaire, this position requires an online assessment. The online assessment measures critical general competencies required to perform the job.
- Selective Service Registration is required for males born after 12/31/1959
- Physical Requirements: The work required does not inherently include any physical requirements essential for successful job performance that could not otherwise be performed with accommodation or workplace adjustment. A pre-placement physical examination is not required.

- Selected applicants will be required to complete an online onboarding process. - Participation in the seasonal influenza vaccination program is a requirement for all Department of Veterans Affairs Health Care Personnel (HCP)

- Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience managing clerical and administrative support in an hospital or office setting; using various office software such as Word, Excel, and PowerPoint; creating and generating reports; coordinating, planning, and organizing administrative duties; preparing meeting agendas and minutes; communicating orally and in writing to internal and external customers; researching various publications, manuals, handbooks, and policies; analyzing, extracting, tracking, summarizing, and compiling information for reporting and review; preparing correspondence; providing customers with consistent information according to established policies and procedures, etc.
