POSITION SUMMARYThis full-time position provides day-to-day administrative support to the Employee Services Manager and HR, helping ensure employee records, onboarding, benefits and employee communications run smoothly, accurately and in a timely manner.Working closely with the HR Administrator, Employee Services Manager and Business Administration Director, the Employee Services Coordinator serves as a first point of contact for routine employee questions and personnel requests. Over time the Employee Services Coordinator will gain exposure and be involved in a wide variety or HR functions including recruitment, employee relations, leadership and development, compliance, safety payroll and HR systems, with opportunities to take on greater responsibility as skills develop.This individual will also serve as redundancy for key administrative functions, ensuring continuity of critical operations. Additional tasks may be assigned as assigned by the HR Administrator, Employee Services Manager or Business Admin Director.Enter, update and audit employee data in the HRIS, including new hires, job and pay changes, transfers, promotions, leaves and terminations, ensuring records are accurate and complete.Initiate and monitor digital onboarding workflows, including electronic offer letters, e-signature documents, electronic I-9 and E-Verify completion, task assignments and orientation scheduling.Support recruitment through the applicant tracking system by posting requisitions, managing candidate statuses, scheduling interviews and converting hired candidates into employee records.Support bi-weekly payroll processing, including assisting in monitoring Payroll Services provided by Paycom Vendor to maintain ongoing accuracy and compliance.Validate time, attendance and employee change data in the system ahead of each payroll cycle and resolve discrepancies with payroll and managers.Support the administration of employee benefits programs, including medical, dental, vision, 401(k), and voluntary benefits.Assist in the evaluation, selection, and renewal of benefit vendors and programs, ensuring cost-effective and competitive offerings.Maintain accurate benefits records and ensure timely employee enrollment and communication.Responsible for reporting, records management, and compliance documentation.Partner with the Employee Services Manager to assist employees and managers through unemployment, workers’ compensation, leave management, and return-to-work programs.Provide guidance and advocacy for employees navigating external support programs.Serve as a resource for staff questions related to pay, benefits, and company policies.Respond to employee and manager HRIS questions, troubleshoot basic self-service issues and escalate system problems to the appropriate administrator or vendor.Help maintain HRIS process guides, user instructions and workflow documentation, and suggest improvements that reduce manual steps.Support the HR Administrator and Employee Services Manager in creating, updating and maintaining HR compliance objectives, timelines and tracking tools.Maintain a compliance calendar of recurring requirements such as required postings, annual filings, policy acknowledgments, mandatory training and record retention deadlines.Use the HRIS to assign, track and report on required training, policy acknowledgments and certification or license expirations.Run periodic data audits (for example I-9 completeness, employee file requirements and FLSA classification fields) and document findings for review.Help research changes in federal, state and local employment requirements and update related procedures, templates and system settings under the direction of HR leadership.Track progress on compliance action items and provide regular status updates to the HR Administrator and Employee Services Manager.GeneralAnswer and direct calls, handle outgoing mail, and provide admin support to maintain an organized, welcoming office.Maintain strict confidentiality and security of all sensitive information and records.Champion a culture of accountability and collaboration within the organization.Stay current with internal guidelines and standard operating procedures to ensure compliance.Be prepared for cross-training in other departments.Dress appropriately for occasional work outside in all weather conditions.Provide friendly, helpful service to guests and coworkers at all times.Follow all resort policies and procedures, including those related to safety, conduct, and appearance.High School diploma or equivalent, Associate or Bachelor's degree in Human Resources, Business Administration or a related field are preferred.Experience in administrative, office support or an HR-Related role.Strong attention to detail, ability to handle multiple tasks and deadlines while ensuring accuracy and compliance.Customer service mindsetThe successful candidate should be comfortable learning new systems, following established procedures and asking questions when guidance is needed.Proficiency with Microsoft Office suite. Ability to quickly learn and adapt to changing technology in an office/administrative environment.Excellent interpersonal and communication skills.Proven discretion and professionalism in handling confidential matters.Employment is contingent upon successful completion of a criminal and civil background investigation.PHYSICAL DEMANDSWhile performing the duties of this job, the employee is regularly required to sit, use a computer, and operate standard office equipment. The employee must be able to communicate clearly, both verbally and in writing. Occasional standing, walking, reaching, or lifting may be required. The employee may occasionally need to lift and/or move items up to 25 pounds. Occasionally, this position requires the ability to shovel and remove snow in cold, wet, or icy conditions, involving lifting up to 50 pounds and performing repetitive physical movements for extended periods.WORK ENVIRONMENTThis position is primarily based in a quiet, indoor office setting.
