We are seeking a detail-oriented Billing & Administrative Specialist to support an energy efficiency program for a well-established utility company. This role involves processing applications and contracts, reviewing financial documentation, maintaining records, and communicating with customers and contractors to ensure accurate and timely processing.

Candidates with experience in billing, HVAC, construction, or contract administration are strongly encouraged to apply!

Responsibilities

• Process and manage applications and contracts from submission through completion.
• Review contracts, invoices, and supporting documentation for accuracy and completeness.
• Verify project costs and reconcile financial documents.
• Communicate with customers and contractors by phone and email regarding application status and missing documentation.
• Follow up on outstanding paperwork, discrepancies, and incomplete applications.
• Maintain accurate records and update internal databases.
• Prepare payment vouchers and coordinate required approvals.
• Review HVAC-related project documentation and equipment specifications when needed.
• Track project deadlines and follow up on overdue items.
• Provide general administrative support to the department.

Qualifications

• 2–4 years of experience in billing, administrative support, contract processing, or a related field preferred.
• HVAC, construction, or utility industry experience is a plus.
• Strong attention to detail and organizational skills.
• Excellent customer service and communication skills.
• Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
• Experience reviewing financial documents, contracts, or invoices preferred.
• Ability to manage multiple priorities and meet deadlines.
• Associate degree preferred, but relevant experience will be considered.
