Program Specialist

The Education Program Assistant supports the planning, coordination, and delivery of ART321's education programs. This position works closely with the Executive Director, Education Coordinator, instructors, and communications team to ensure classes and workshops are organized, engaging, and well promoted. The ideal candidate enjoys working with children, teens, and adults, communicates well with others, is highly organized, and believes in creating welcoming, accessible arts experiences for everyone. They take pride in keeping creative spaces organized, functional, and ready for learning. Program Coordination Assist with planning and delivering youth, teen, and adult art programming, including Mini Masters, Homeschool Art, and other youth programs in collaboration with the Education Coordinator. Work closely with the Education Coordinator to coordinate upcoming programming, ensuring all information is accurate, complete, and ready while supporting successful class delivery and resolving challenges as they arise. Communicate class details, supply needs, deadlines, and promotional information to the Communications Team to support marketing efforts. Serve as the primary point of contact for instructors, coordinating class logistics, classroom needs, schedules, and program updates to ensure classes are prepared, staffed, and running smoothly. Report directly to the Executive Director regarding education initiatives, scheduling, and program needs. Data & Reporting Track attendance for classes, workshops, and education programs. Maintain accurate grant reporting and program participation records on a weekly basis. Assist with collecting program feedback and other data as requested. Guest Services Cross-train at the ART321 front desk, including point-of-sale operations, memberships, and guest services. Provide front desk coverage as needed. Work rotating Saturdays with the front desk team. Welcome guests and help create a positive first impression for every visitor. Team Support Assist with community events, receptions, fundraising events, outreach activities, and special programs. Pitch in wherever needed to support ART321's mission and the organization's success. Represent ART321 with professionalism, kindness, and enthusiasm in every interaction. Studio & Supply Management Maintain organized, clean, and welcoming classrooms, studios, and storage areas. Keep art materials, classroom equipment, and building supplies organized and easily accessible. Monitor inventory of art supplies, classroom materials, and facility essentials, notifying the appropriate team member when items are running low. Assist with preparing supply kits and materials for upcoming classes, workshops, camps, and special events. Help ensure studios are properly cleaned and reset after classes and ready for the next program. Required Passion for working with children and helping people learn. Strong communication and organizational skills. Ability to manage multiple projects and deadlines. Dependable, flexible, and team-oriented. Comfortable using computers and learning new software. Ability to lift up to 50+ pounds and assist with classroom setup and cleanup. Successful completion of a criminal background check. Valid driver's license and reliable transportation preferred. Knowledge of basic technology Physical Requirements This is an active, hands-on position that requires a significant amount of physical work. Applicants should be comfortable with the physical demands of a busy community arts center, including: Standing and walking on concrete floors for extended periods. Frequently lifting, carrying, and moving art supplies, furniture, tables, chairs, pottery wheels, and equipment. Regularly lifting up to 50 pounds independently and heavier items with team assistance. Transporting heavy materials, including clay and supplies, between floors using stairs. Bending, kneeling, crouching, climbing ladders or step stools, and reaching overhead. Setting up and tearing down classrooms, exhibits, and event spaces. Working in studios that may involve exposure to dust, clay, paint, glazes, and other art materials. Assisting with loading and unloading supplies for classes, outreach programs, and special events. Preferred Experience working with children, teens, or educational programming. Background in art education, education, museums, recreation, camps, or youth development. Experience with nonprofit organizations or community programming. Basic knowledge of art materials and creative processes. Comfortable learning and using digital platforms including Google Workspace, Trello, POS systems, and other organizational software. CPR/First Aid certification (or willingness to obtain). This position requires excellent follow-through. The successful candidate will help ensure programs are not only delivered well but are prepared, promoted, documented, and evaluated.
