Faculty Approvals Specialist [Remote]

This role sits at the intersection of faculty operations, HR coordination, and academic administration, ensuring that faculty onboarding and approval processes run smoothly and accurately across multiple systems.
You will manage the end-to-end coordination of faculty hiring workflows, from requisition creation and approvals to onboarding and record management.
The position requires close collaboration with academic leadership, HR, payroll, and IT teams to ensure data consistency and operational alignment.
You will play a key role in maintaining the integrity of faculty records, resolving data discrepancies, and supporting compliance across systems.
A strong focus is placed on organization, attention to detail, and the ability to manage multiple administrative processes simultaneously.
The environment is collaborative and service-oriented, supporting faculty and staff across a fully online academic institution.
Your work directly ensures a seamless experience for faculty entering and progressing through the organization.

Accountabilities

You will be responsible for coordinating faculty approvals, onboarding processes, and faculty data integrity across multiple systems while supporting cross-functional academic and administrative operations.

• Coordinate faculty and adjunct job postings, requisitions, and workflow processes within Workday.
• Support recruitment and onboarding activities, including offer letters, contract preparation, and new hire processing.
• Manage faculty onboarding tasks such as system access requests, documentation collection, and training coordination.
• Process and track Request for Teaching Approvals (RTA), ensuring accurate routing, updates, and communication.
• Maintain and update faculty records across systems, including transcripts, CVs, holds, and termination records.
• Audit faculty data, pay records, and time entries to identify discrepancies and ensure accuracy across platforms.
• Collaborate with Payroll, HR, IT, and academic departments to resolve issues and improve processes.
• Develop training materials and job aids to support faculty and adjunct staff in system usage and compliance.
• Run reports, analyze data inconsistencies, and support system testing for updates and enhancements.

Requirements

The ideal candidate brings strong administrative experience, excellent attention to detail, and the ability to manage complex workflows across multiple systems in a collaborative environment.

• Bachelor’s degree or equivalent combination of education and experience.
• At least 2 years of experience in customer service, HR, administrative support, or related roles.
• Strong proficiency in Microsoft Excel (including pivot tables, VLOOKUPs, charts, and reporting tools).
• Experience working with database systems and generating reports from complex datasets.
• Strong communication skills with the ability to interact professionally with faculty, staff, and stakeholders.
• Excellent organizational and prioritization skills with the ability to manage multiple deadlines.
• Ability to handle confidential and sensitive information with discretion.
• Experience with Workday, Banner, or LMS platforms is a plus.
• Familiarity with higher education environments is an advantage.
