Construction Project CoordinatorThe Construction Project Coordinator provides primary administrative support for construction projects while managing front desk responsibilities. This role works closely with Project Managers and the accounting team to gather, track, and organize critical project documentation used for invoicing, billing, compliance, and certified payroll. It is an excellent opportunity to gain broad exposure to construction project administration and grow into more advanced project operations roles over time.ResponsibilitiesManage front desk operations, including greeting visitors, answering and directing phone calls, and serving as a central point of contact for project-related inquiries.Collect, track, and organize certificates of insurance, bonds, W-9s, and other subcontractor documentation required for project compliance and billing.Maintain accurate and up-to-date project records, including compliance documentation and subcontractor and supplier information.Enter insurance certificate information into Sage and ensure data is complete and accurate.Support projects related to MOPAR/Stellantis by uploading required documentation into Stellantis and safety compliance portals.Assist with invoice preparation and assemble billing documentation for review by the accounting team.Coordinate with project teams to ensure all project documentation is complete, accurate, and submitted within required timelines.Review, organize, and track project information using Excel to support reporting, billing, and compliance activities.Utilize Procore to review and process timecards; training will be provided to become proficient in this system.Understand and track subcontractor and supplier details, including contact information and project-specific records.Compile project information and documentation needed by the accounting department to complete invoicing activities.Support certified payroll processes by ensuring relevant documentation and records are properly maintained.Assist with job costing activities by organizing and tracking documentation that supports accurate project cost reporting.Provide general administrative support to project management and accounting, including data entry, document control, and change order documentation handling.Collaborate regularly with Project Managers, accounting staff, subcontractors, suppliers, and clients to facilitate smooth project administration.Essential SkillsAt least 2 years of experience in construction administration or project coordination.Strong organizational skills with a proven ability to track and manage high volumes of documentation.Proficiency in Microsoft Excel for reviewing, tracking, and organizing project information.Experience with construction document control and project administration processes.Understanding of the differences between subcontractors and suppliers and how each is managed within construction projects.Knowledge of certified payroll requirements and job costing principles in a construction environment.Ability to perform accurate data entry and maintain detailed records.Strong administrative support skills, including managing front desk responsibilities and handling multiple tasks simultaneously.Effective communication skills for working with project teams, accounting staff, subcontractors, suppliers, and clients.Additional Skills & QualificationsExperience managing certificates of insurance, bonds, and W-9 documentation is a plus.Familiarity with Procore for timecard review and processing; training will be provided if needed.Experience using Sage or similar accounting or project management software for entering insurance and project-related information.Experience in construction project coordination, construction administration, or project engineering support.Experience with change order documentation and related administrative processes.Proficiency with Microsoft Office tools beyond Excel, such as Word and Outlook, for communication and documentation.A Construction Management degree or related education is beneficial, particularly for candidates interested in advancing into a Project Engineer role.Interest in long-term growth within construction project operations and a desire to take on increasing responsibility over time.Work EnvironmentThis position is 100% onsite in Livonia, working standard hours from 8:00 AM to 5:00 PM. The role includes front desk responsibilities and frequent interaction with Project Managers, accounting staff, subcontractors, suppliers, and clients. You will work in a professional office environment using tools such as Excel, Procore, Sage, and various online compliance portals. The setting emphasizes collaboration, clear communication, and detailed documentation, offering exposure to all aspects of construction project administration and a pathway for professional growth.Job Type & LocationThis is a Contract to Hire position based out of Livonia, MI.Pay and BenefitsThe pay range for this position is $26.00 - $32.00/hr.
