Senior HR Administrator

We are looking for a capable and proactive Senior HR & Office Administrator to help run and grow the firm. This is a senior role with broad ownership across human resources and office operations, suited to someone who can work independently, take initiative, and bring structure and discipline to a busy professional services environment. Responsibilities Human Resources Implement and maintain firm-wide HR policies and procedures Oversee staff leave management and scheduling to ensure adequate manpower coverage at all times Manage the full recruitment lifecycle, including drafting job descriptions, placing advertisements, screening CVs, coordinating interviews, and managing candidate communications Manage work pass applications, renewals, and cancellations in compliance with MOM regulations Administer employee benefits including medical insurance and leave entitlements Maintain accurate and confidential employee records; manage staff confirmation, resignation, and offboarding processes Office Management Oversee day-to-day office operations and ensure the office runs smoothly and efficiently Manage and negotiate with third-party vendors and service providers, including IT, insurance agents, and facilities management Manage procurement of office supplies Maintain lawyers’ practising certificates and professional indemnity insurance renewals Handle ad hoc administrative matters as they arise, with a problem-solving mindset Requirements Minimum Diploma in a related field At least 5–7 years of relevant experience in a professional services environment; experience in a legal setting is a strong advantage Proven ability to take ownership and work independently with minimal supervision Strong HR knowledge including familiarity with MOM regulations, the Employment Act, and Singapore labour law Experience in recruitment, including end-to-end hiring for professional roles Strong interpersonal and stakeholder management skills, with the ability to liaise credibly with lawyers, partners, external vendors, and candidates Proficient in Microsoft Office (Word, Excel, PowerPoint); familiarity with legal practice management software is an advantage Highly organised, meticulous, and able to manage multiple priorities in a fast-paced environment This position is open to Singapore Citizens and Permanent Residents only.
