Receiving & Inventory Control Manager

Server Tech Solutions Inc. — 111 Central Park Pl, Sanford, FL 32771 Full-time | Monday–Friday, 9:00 a.m. – 6:00 p.m. | On-site $30.00 – $38.00 per hour (based on experience) Reports to: Director of Operations -ABOUT THE WORK- Server Tech Solutions buys, tests, grades, and resells enterprise technology hardware, and handles ITAD for clients decommissioning their infrastructure. Our core volume is enterprise storage — HDDs, SSDs, NVMe, and M.2 arriving in lot quantities across every capacity, interface, and form factor. Around that: complete servers (Dell PowerEdge, HPE ProLiant, Supermicro, Cisco UCS), memory, GPUs, CPUs, RAID controllers, HBAs, network cards, power supplies, caddies, and rails. Every unit is serialized on arrival, tested, graded, assigned a SKU based on that grade, and activated as sellable inventory. A drive’s model, capacity, interface, and health data determine what it is and what it’s worth. Get a part number wrong at intake and it propagates into testing, pricing, listings, and eventually a customer return or a vendor claim we can’t win. You own that gate. -WHO WE'RE LOOKING FOR- You have worked in ITAD, IT refurbishment, data center decommissioning, or enterprise hardware resale. You know what a Dell DP/N is, why an HPE spare number and an assembly number are not the same thing, and what “pulled, tested, working” actually means when a vendor puts it on a manifest. You have seen drives arrive labeled one capacity and test out as another. You know what SMART data tells you, and what power‑on hours do to a grade. You do not need to be an engineer. You need to have handled this equipment at volume, and to have been the person accountable when the count was wrong. -WHAT YOU'LL OWN- Own receiving for all inbound serialized hardware — drives, servers, and components Verify part numbers, revisions, configurations, quantities, serials, and condition against the PO and vendor manifest Maintain 1:1 serial‑level traceability from PO through grading, activation, and sale Catch and document misrepresented lots: capacity mismatches, undisclosed pulls, relabeled or counterfeit drives, missing caddies and rails, cosmetic damage inconsistent with the stated grade Set and enforce receiving accuracy standards, and stop the line when something does not look right PO Lifecycle Ownership Own the purchase order from in‑transit through live and sellable Track every open PO daily across receiving, testing, grading, and activation status Identify and clear stale or stuck POs before they affect vendor relationships or purchasing decisions Maintain PO aging visibility for leadership and Purchasing Testing Coordination & Grading Set testing queue priority based on PO urgency and business value; coordinate daily with HW Engineering & Testing Keep a prioritized queue staged — no idle test capacity while inbound stacks up Track every unit through test, retest, and grading Reconcile post‑test yields (Grade A/B/C) against inbound manifests, and flag yield rates that fall outside expectation for a given vendor or lot Oversee SKU transformation when grading splits a lot into distinct SKUs Document shortages, overages, substitutions, and grade misrepresentation with evidence strong enough to support a claim Give Purchasing the data to hold vendors accountable Turn discrepancies around within 48 hours of identification ITAD, Data Security & Compliance Maintain chain‑of‑custody documentation on client decommissioning and ITAD receipts Ensure drives are routed to the correct sanitization or destruction path and that certificates are issued accurately Support audit readiness as ITAD operations scale Protect against inventory loss, misclassification, and fraud Team & Process Manage the receiving and inventory control team Build and maintain SOPs across the inbound pipeline Train the team on serialized handling, hardware identification, documentation standards, and escalation Maintain accurate, auditable records in Finale Inventory (ERP migration anticipated) -WHAT SUCCESS LOOKS LIKE- Receiving accuracy — percentage of POs received with zero discrepancies PO cycle time — average days from arrival to live and sellable PO aging — open POs beyond 14 days; percentage completed within 7 Vendor discrepancy turnaround — documented within 48 hours Speed to live — time from grading completion to inventory posted -REQUIREMENTS- 3–5+ years in receiving, inventory control, or IT asset management with serialized technology hardware Direct hands‑on experience with enterprise drives, servers, or components — you can identify hardware and read manufacturer part numbers without looking up every line Background in ITAD, IT refurbishment, data center decommissioning, e‑waste, or hardware resale Demonstrated ownership of serial‑level traceability and PO reconciliation Experience with WMS or ERP inventory systems (Finale Inventory or comparable) People leadership — managing a small team to a measurable accuracy standard Calm and methodical under volume and shifting priorities -STRONGLY PREFERRED- Familiarity with drive health data — SMART attributes, power‑on hours, reallocated sectors, SSD wear indicators — and how it maps to grading Working knowledge of NIST 800‑88 sanitization, degaussing, or physical destruction workflows Experience in an R2v3, e‑Stewards, NAID AAA, or ISO 14001 environment Experience issuing certificates of data destruction or recycling Fluency with OEM part numbering: Dell DP/N, HPE spare and assembly numbers, Cisco PID, Supermicro model strings Experience with lot‑based or broker purchasing and vendor claim resolution -WHAT MAKES SOMEONE GOOD AT THIS- Gatekeeper instinct — you stop the process when something is off, even under pressure Ownership — you see a stale PO and you fix it Systems thinking — you see how a receiving error compounds through testing, fulfillment, and the customer Velocity awareness — inventory sitting in WIP is deferred revenue -WHY THIS ROLE MATTERS- Every PO that sits incomplete costs money — in deferred revenue, in vendor trust, in purchasing leverage, and in operational drag. Every unit received wrong costs more than that, later, and with interest.
