Sales & Marketing Coordinator Job Summary The Sales Coordinator is the primary administrative support for the Sales & Marketing department. The Sales Coordinator is responsible for preparing sales-related documents throughout the sales process including rooming lists, proposals, room block coordinating, reservations, promotional materials and Social Media. The Sales Coordinator is the first contact within the Sales & Marketing department for clients and must have excellent written and verbal communication skills. This position is responsible for maintaining high levels of organization and efficiency. The schedule for this job is 8:30am-4:30pm Monday through Friday, however, there are needs for evening availability and weekend availability during certain times of the year. Key Job Duties Administrative support the Sales department, including Director of Sales & Marketing and all Sales Managers Receive all inbound sales leads and deploy within the department as appropriate, based on assigned segments Handle all incoming courtesy block agreements, including sales proposals & contracts Maintain excellent files (both physically and digitally within the CI/TY CRM program) for all upcoming groups, following a detailed checklist Conduct site visits and hotel tours Serve as a concierge for VIP clients by personally handling reservation inquires, amenities, and coordinating details with other departments Work hand-in-hand with the Front Office department regarding group reservations, group billing, client preferences, and other details Lead Weekly Group Resume meetings with attendees from hotel leadership team Create and schedule social media content for the hotel's social accounts utilizing the brand voice guide and being creative in content to promote engagement Oversee and process advance deposit payment requirements for upcoming groups, based on the contracted dates and amounts Attend weekly Credit Meeting with the Accounting Manager, to assist with group billing coordination and post-event reconciliation Must have excellent communication skills in written, telephone, in-person, and e-mail communication. Prioritize response time for clients and leads within 4 business hours, and other communication within 2 business days.
