Job Description Summary Provides receptionist/clerical support assuring patient flow, comfort and satisfaction. Primary responsibilities include answering phones utilizing a computerized system, directing calls appropriately, scheduling patient appointments in the electronic medical record (EMR) system, data entry of patient information and insurance verification, and providing support to staff members as assigned. 70% • RECEPTIONIST RESPONSIBILITIES
Greets patients, initiates appropriate paperwork, completes registration, verifies insurance, collects co‑payments, establishes payment plans, and ensures accuracy in information systems. Manages electronic and manual insurance verification and processing, obtains pre‑authorization when necessary, and interacts with physician offices and third parties. Updates patient charts electronically or on paper, obtains signatures, files paperwork, and notifies clinical associates of patient arrival. Answers multi‑line phone system, screens calls, and directs to appropriate office associate using a computerized system. Provides general office and clerical support, including faxing documentation, completing forms (disability, FMLA, attorney requests, patient releases), and handling industrial claim paperwork. Works industrial claims in the EMR system, attaches requested dictation, adds diagnosis allowances and authorization numbers. Assists in keeping patient charts organized and filed, including scanning and document tracking into EMR. Attends staff meetings and continuing in‑house education seminars as required.30% • ORGANIZATIONAL/OFFICE RESPONSIBILITIES
Sorts, distributes, and mails transcription as assigned. Orders and stocks office supplies. Ensures office equipment is clean and well‑maintained. Provides support to staff members as assigned. High Reliability Organization (HRO) responsibilities require focus on safety, quality, and efficiency. Minimum Qualifications High School diploma or GED (required). 1–2 years of previous secretarial experience in healthcare or medical office, or equivalent combination of experience and/or training.
