Position Summary:

The 3PL Project Coordinator manages vendor-assigned projects from order assignment through installation and invoicing. This role coordinates project setup, equipment tracking, scheduling, vendor communications, documentation, and customer support to ensure projects are completed accurately and on time.

The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple projects while communicating effectively with customers, vendors, and internal teams.

Performance Objectives:

• Manage the intake and setup of new 3PL projects assigned by vendor partners.
• Enter and maintain project information within NetSuite and other required systems.
• Monitor inbound shipments and track equipment until all items have been received and are installation-ready.
• Coordinate with Receiving, Warehouse, Shipping, Service, and Installation teams to ensure projects move forward efficiently.
• Verify all required documentation is obtained prior to scheduling, including site surveys, customer information, and project requirements.
• Serve as the primary point of contact for customers and vendor partners throughout the project lifecycle.
• Coordinate delivery and installation schedules with customers and internal teams.
• Maintain vendor portals and provide required status updates, documentation, and project milestones.
• Ensure installation teams receive complete and accurate project documentation prior to deployment.
• Collect and review completion paperwork following installation.
• Process project invoicing and submit required documentation to vendor partners for payment.
• Proactively identify delays, shortages, or project risks and escalate issues when necessary.
• Maintain accurate records and documentation throughout the life of each project.

• Experience with NetSuite or other ERP systems preferred.
• Prior experience in logistics, project coordination, operations, construction coordination, installation coordination, or customer service preferred.
• Experience within the fitness industry is beneficial but not required.
• Ability to work Monday through Friday.

Education & Experience:

• GED or some college coursework is preferred
