Military Education Coordinator

Overview The Military Education Coordinator in the Office of Stateside Military Operations reports to the Assistant Director (or Director) and serves as a liaison between military education centers and students. The position facilitates hybrid class offerings, testing services, and academic advising for military/veteran and civilian students. Location This position is 100% on‑site in Pearl City, HI, with travel to other military installations required. Hours Monday‑Friday full time with some evening and occasional weekend hours as required. Specific schedule may be subject to change. Travel Requirements Day and overnight travel to other military installations and UMGC locations may be required. Responsibilities Provide students with superior customer service as an advocate and advisor throughout the academic cycle. Promote and support localized UMGC services, including hybrid classes, testing services, and graduation ceremonies, at military installations and civilian sites. Execute operational and administrative duties to ensure offices and test centers are properly maintained per military education center standards. Maintain and expand knowledge of UMGC systems, including CRM databases (Salesforce, PeopleSoft, DMS). Support management in creating, coordinating, and providing consistent outreach projects and services to military and civilian installations. Provide proactive input and creative support at local events such as Military Open Houses, college/academic fairs, and other specialized events. Oversee office resources and coordinate with management for IT assets and office supplies. Ensure marketing materials are current, accurate, and displayed in adherence to military requirements. Maintain positive relationships with the Education Services Officer, Test Control Officer, specialists/counselors, and various testing services. Provide academic officers with periodic briefings to update military representatives on UMGC programs. Assist students who walk in, call, virtually, or email for admissions, registration, financial aid, student account information, national testing center information, and base access requests. Track and analyze site statistical data on testing and class enrollments to inform scheduling of hybrid classes and proctoring. Ensure the test center and hybrid classes have adequate space and required technologies. Ensure professors have base access and are briefed on UMGC base requirements in accordance with base security compliance. Ensure civilian students and professors are prepared to attain base access for class, allowing time for passes and access. Be available for first and last class sessions each semester at hybrid class locations to provide guidance and key pickup. Attend local and national events, education fairs, conferences, and the annual commencement ceremony as applicable. Communicate promptly with the Education Services Officer, Test Control Officer, and UMGC management regarding staffing and test administration issues. Assist with registration for administered exams at national test centers (CLEP, DSST, Pearson VUE, Accuplacer, etc.). Ensure testing rules and regulations are enforced per policies of the respective testing services, DANTES, and UMGC. Maintain current Test Administrator certifications and facilitate testing services software updates and maintenance. Provide in‑person coverage to other locations for testing services and/or academic advising. Perform all other duties as assigned and as needed. Required Education and Experience Bachelor’s degree from an accredited institution of higher learning. One (1) year of customer service experience, preferably in higher education. Outstanding customer service skills with both internal and external customers. Strong organizational, communication, and interpersonal skills, with the ability to prioritize and manage multiple projects and tasks. Proficiency in MS Office products. Preferred Education and Experience One (1) year of experience working in a higher education environment, preferably with non‑traditional students. General knowledge of UMGC practices and procedures. Experience working with the military or military students, preferably in higher education. Experience using PeopleSoft, Salesforce, and Microsoft 365. Knowledge, Skills, Abilities Proficient use of multiple interfaces including Microsoft Office (Word, Excel, PowerPoint). Effective written and verbal communication skills to interact regularly with prospective and current students and internal/external stakeholders.
