Payroll Specialist - Hybrid (On-Site / Remote)

GENERAL PURPOSE OF THE JOB:

The Payroll Specialist is a key member of the accounting department, processing biweekly, multi state payroll and monthly expense reimbursements. Critical to the position is a high- level of organization and process management capability and willingness to grow with the company. As such, the Payroll Specialist is a financially minded individual with a proven record of payroll experience. The Payroll Specialist is responsible for performing all biweekly, monthly, quarterly, and annual payroll processing functions, including account reconciliation and tax reporting oversight. The Payroll Specialist is responsible for processing payments and managing timely payment of company reimbursements. The Payroll Specialist must possess a high level of integrity and professionalism, with ability to maintain strict confidentiality of company payroll and accounts payable information.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

The following duties and responsibilities generally reflect the expectations of this position but are not intended to be all inclusive: Perform all daily payroll department functions. Responsible for all payroll tax activities, including compliance with local, state and federal regulations and filing local, state, and federal payroll tax returns. Responsible for reconciliation of all payroll tax withholding and expense accounts to payroll system Develop and control all tasks necessary to accomplish the organization's payroll processing objectives, including relationships with internal and external auditors and state and federal agencies. Manage workflow (timesheets, etc.) to ensure all payroll transactions are processed accurately and timely. Reconcile payroll prior to transmission and validate output reports. Remit voluntary benefit contributions (401k, HSA, and other benefits). Process garnishment calculations, compliance response and remittances. Assist with the posting of payroll journal entries. Audit and reconcile payroll withholding, clearing and accrual accounts for all companies. Research and respond to employee inquiries in a timely manner. Responsible for training on payroll, timekeeping, and expense reimbursement processes, and be a resource for inquiries regarding payroll and related expenses. Assist HR with complying with federally mandated annual benefit reporting. Code reimbursement for accounting to correct GL expense accounts. Prepare and balance payroll summaries, W-2 forms, ensuring accuracy of outside payroll processor. Coordinate the distribution and mailing of earnings statements.Assist Director of Accounting with other payroll-related duties. Requirements Education: Associate’s Degree with Business, Accounting or Finance concentration required. Bachelor’s Degree in Business Administration, Accounting or Finance preferred. Experience: Minimum 3-5 years’ progressive experience in Payroll and Accounts Payable processing positions in a multi-state company setting. Specialized Skills and Knowledge: Proficient in all aspects of multi-state payroll processing, payroll withholding management and payroll tax reporting compliance. Proficient in computerized payroll and accounts payable system operations. Experience with Paylocity (Company HRIS/payroll system) a plus. Experience with Expensify expense reporting system a plus Intermediate to advanced knowledge of MS Office applications (Excel; Word; Outlook) Strong interpersonal skills with ability to communicate issues, answer inquiries and resolve teammate questions regarding payroll matters, as well as, Proficient in computerized payroll system operations and management Ability to read, analyze, and interpret company invoices and determine appropriate GL classification for expense reimbursement processing. Capacity to perform mathematical calculations, percentage allocations, and quantitative reconciliations of payroll and accounts. Ability to cultivate positive, professional relationships with other members of the accounting team. Ability to prioritize tasks on the fly, have a flexible workflow as urgent issues arise, and work well on a deadline.
