Job Purpose: The Data Management Specialist will manage and troubleshoot vendor contract database for accurate as well as timely documentation and reimbursement. As well as develop and maintain positive relationships with vendors. QUALIFICATIONS: Bachelor’s degree in related degree required Minimum of five (5) years of child welfare experience required. Experience or familiarity with child welfare and eWiSACWIS required. Experience with custom application service providers, such as CoBRIS, Avi Networks, Qwest, etc. Experience with project management and information tracking Experience with Microsoft Office products Ability to type 40-50 words per minute with 95% accuracy. Able to organize and track information in a systematic method. Demonstrate a strong awareness of and respect for different perspectives, and the ability to collaborate and communicate effectively and respectfully with individuals from a wide range of backgrounds. Demonstrate organizational skills, manage multiple priorities and able to respond quickly and courteously. Ability to maintain confidentiality when reading, typing, or hearing matters pertaining to clients. Strong customer service skills Proficient in the usage of computer software; demonstrate an understanding of computer file systems and computer software packages, e.g., Microsoft Office, Excel, Outlook, Teams, ADP, etc. Must be honest, dependable and able to meet deadlines; Self-motivated and able to work independently. Physical exam, drug screen, motor vehicle report, and background checks are required for this position. Required or reliable transportation to conduct on-site learning throughout the state. JOB RESPONSIBILITIES: Vendor Management Oversee CoBRIS (or designated management tool) regarding troubleshooting and collaborating with service providers, staff, and leaders to ensure accurate, thorough and timely documentation for payments. Ensure accuracy of new/existing providers profiles. Regular updates regarding provider (vendor staff) access in CoBRIS and updating user account rosters accordingly. Track and manage service provider agreements and Memorandum of Understandings (MOUs). Manage data entry for Discretionary Service Forms (DSFs) and MOUs for proper payment to vendors. Train agencies/providers on how to use data system and as new features are implemented Liaison between FivePoints, internal staff and vendors around CoBRIS errors coordinate investigative work around root causes In collaboration with internal and external stakeholders, inform CoBRIS Purchase of Service program improvements for review and potential incorporation into application updates Act as an intermediary between vendors and staff to ensure that service data is entered as required and in a timely fashion with necessary detail Develop and maintain positive and respectful working relationships with vendors Information Management & Data Data entry and management of new and existing Child & Family Well-being Program stakeholders into CoBRIS (or designated management tools). Responsible for maintenance of current insurance coverage for vendors in the system Assist with vendor auditing analysis – verify amount paid, obtain reports on vendor history for verification For auditing purposes, monitor amount paid to network providers Data entry into database for child welfare expenses (credit card purchases, bus tickets DSFs) Review/Monitor Eligibility of Medicaid Train new case managers and leaders in data system Record and maintain training videos for staff on the Purchase of Service program within CoBRIS Assist in annual renewal of network service agreement Assist in development and testing of databases updates and upgrades Develop and utilize measurement tools and instruments for use in program assessment or data collection. Initiate, maintain, and monitor tracking systems to increase compliance within program expectations. Research and implement appropriate means of manipulating data in CoBRIS to circumvent functionality issues in the Purchase of Service program Ensure reports are provided to appropriate program staff within determined timeframes.
