Legal Operations Specialist

* Process high volumes of diverse legal documents and orders (garnishments, bankruptcy notices, subpoenas, levy notices, escheatment requests, deceased customer claims, and bank account verification requests) accurately and timely in accordance with federal, state, and banking regulations
* Review and interpret legal documentation, court orders, and government correspondence; conduct necessary legal research to ensure accurate understanding and compliance with all applicable laws and regulatory requirements
* Communicate professionally with external parties including courts, law firms, government agencies, and other financial institutions regarding legal requests, providing requested information within applicable timelines and maintaining confidentiality
* Research account information, process account holds and releases, coordinate payments and processing fees, and prepare necessary documentation ensuring all actions comply with Bank policy and regulatory guidelines
* Identify and escalate complex, unusual, or potentially problematic legal matters to appropriate management; flag any compliance concerns or inconsistencies
* Track, log, and maintain organized records of all incoming legal directives and outgoing responses to ensure audit trail and regulatory documentation requirements are met
* Complete assigned tasks accurately and timely, managing high volumes of sensitive legal documents while maintaining compliance standards
* Assist with unclaimed property and escheatment compliance matters, including account research and state regulatory reporting
* Identify process inefficiencies and recommend improvements to legal operations workflows
* Regular and predictable attendance and punctuality
* Other tasks as assigned

Physical Requirements:
* Must be able to remain in a sitting stationary position for extended periods of time
* Constantly operate a computer and other office machinery
* Ability to lift up to 25 pounds

* At least 18 years of age
* High school diploma or equivalent
* 1-2 years of experience processing legal documents, financial transactions, or banking operations, preferred
* Proficient with computer systems and software applications
* Strong Microsoft Office skills and ability to quickly learn new systems required
* Professional verbal and written communication skills
* Ability to interact effectively and respectfully with teammates, bank management, customers, attorneys, courts, and government agencies
* Ability to work independently with minimal supervision; self-directed, takes initiative, adjusts priorities based on business need, and maintains high accuracy without requiring close direction
* Ability to perform effectively in a high-volume, fast-paced legal operations environment; strong emotional control and resilience under sustained pressure required as part of a lean departmental team
* Analytical and problem-solving skills; ability to research and interpret legal documents and regulatory requirements
* Must successfully pass background investigation according to company policy
* Must be able to get along with co-workers and work effectively in a team environment
