Program iPROMISE® Student Learning & Emotional Support Program Employment Type Full-Time / Part-Time Reports To Program Director / Clinical Operations Supervisor Position Summary Lotus BHRS Inc. is seeking a professional, organized, and compassionate Intake Specialist to support the iPROMISE® Program. The Intake Specialist serves as the first point of contact for families, referral sources, schools, and community partners seeking services for youth and families. This role is responsible for conducting intake screenings, assisting families through the enrollment process, collecting required documentation, coordinating communication between departments, verifying eligibility requirements, scheduling assessments, and ensuring timely onboarding into services. The ideal candidate possesses strong communication, customer service, administrative, and organizational skills and is committed to supporting youth and families within a structured behavioral and emotional support environment. Essential Duties & Responsibilities Intake & Enrollment Coordination Serve as the primary contact for new referrals, prospective families, and community partners Conduct initial intake screenings and gather demographic, clinical, and program eligibility information Explain program services, expectations, policies, and enrollment procedures to families Schedule assessments, orientations, and intake appointments Maintain ongoing communication with families regarding missing documentation and enrollment status Ensure all intake packets and required forms are completed accurately and submitted timely Administrative & Documentation Responsibilities Enter and maintain client information within electronic systems and databases Verify Medicaid and insurance eligibility when applicable Track referrals, waitlists, enrollments, and intake outcomes Maintain confidential records in compliance with HIPAA and organizational policies Prepare intake reports and enrollment updates for leadership as requested Support audit readiness by ensuring documentation compliance and organization Collaboration & Family Engagement Coordinate with Behavioral Health Workers (BHWs), clinical staff, schools, and administrative personnel Build positive relationships with families and community stakeholders Follow up with families regarding appointments, attendance, and required documentation Assist with outreach events, enrollment campaigns, and community engagement initiatives Provide professional and compassionate customer service to all stakeholders Qualifications High school diploma required; Associate’s or Bachelor’s degree preferred in Human Services, Social Work, Psychology, Healthcare Administration, or related field Minimum of 1–2 years of intake, administrative, healthcare, behavioral health, or customer service experience preferred Experience working with youth and families preferred Knowledge of Medicaid processes and behavioral health services preferred Strong organizational, communication, and multitasking skills Proficiency with Microsoft Office, Google Workspace, and electronic documentation systems Ability to maintain professionalism and confidentiality at all times Required Skills Excellent verbal and written communication Strong customer service and conflict-resolution skills Attention to detail and documentation accuracy Ability to manage multiple tasks in a fast-paced environment Professional phone etiquette Ability to work independently and collaboratively Strong time-management and follow-up skills Physical Requirements Ability to sit, stand, and use office equipment for extended periods Ability to occasionally lift up to 15 pounds Ability to travel locally for outreach or community events if needed Work Environment This position operates within school-based, community-based, and office settings and may involve communication with families experiencing emotional, behavioral, or social challenges.
