Expert Heating & Cooling, a Pinnacle MEP company, specializes in commercial and residential HVAC services and is located in Taylor, Michigan. We are looking for an organized, customer-focused Dispatcher to coordinate technician schedules, manage service appointments, and help ensure customers receive timely and professional service. The Dispatcher plays a key role in daily operations by answering customer calls, dispatching HVAC technicians, maintaining schedules, communicating service needs, and assisting with invoicing and purchase orders. This position works closely with customers, technicians, and internal team members to keep service operations running efficiently. What You'll Do Customer Service & Communication Answer inbound customer calls and direct inquiries to the appropriate team members. Communicate scheduled services, appointment details, and service expectations to customers. Provide professional, timely, and courteous customer service by phone and through other communication channels. Coordinate communication between customers, technicians, and internal team members. Help address scheduling changes, customer concerns, and service-related questions. Dispatching & Scheduling Dispatch HVAC technicians based on service needs, availability, location, and scheduling priorities. Schedule and maintain the service calendar for HVAC service and maintenance appointments. Coordinate daily technician schedules to support efficient routing and timely service delivery. Adjust schedules as needed to accommodate urgent service requests, cancellations, and changing priorities. Communicate schedule updates and job details to technicians and relevant team members. Monitor scheduled appointments and help ensure technicians have the information needed to complete assigned work. Administrative & Operational Support Assist with invoicing and purchase orders. Maintain accurate customer information, service schedules, and appointment records. Enter and update service-related information in company software. Help ensure service documentation and administrative records are complete and accurate. Support the service team with daily administrative tasks and operational coordination. Assist with purchasing HVAC equipment and materials as needed. What We're Looking For Required Qualifications High school diploma or equivalent required. Strong customer service and telephone communication skills. Excellent organizational skills and attention to detail. Ability to manage multiple customer calls, service requests, and scheduling priorities simultaneously. Ability to work under pressure, meet deadlines, and adapt to changing service needs. Strong communication and coordination skills when working with customers and internal team members. Ability to maintain accurate schedules, records, and administrative documentation. Preferred Qualifications Minimum of 3 years of dispatching and routing experience, preferably in the HVAC industry. Experience with ServiceTitan or similar service management software. Previous experience purchasing HVAC equipment or materials is a plus. Familiarity with HVAC service and maintenance scheduling, technician dispatching, or field service operations. Travel Requirements This is primarily an office-based position located in Taylor, Michigan. Occasional local travel may be required to support business or operational needs. Physical Requirements Ability to sit and work at a computer for extended periods while managing calls, schedules, and administrative responsibilities. Ability to use a telephone, computer, and other standard office equipment throughout the workday. Ability to communicate effectively in person, by telephone, and through electronic communication.
