This position is ideal for someone who enjoys high-level executive support, thrives in a dynamic workplace, and is comfortable managing multiple priorities while working closely with leadership. You will play an important role in supporting executive operations, communication, project coordination, and business initiatives in both Japanese and English. Position Summary The Executive Assistant will provide direct support to a senior executive, managing schedules, communications, meetings, travel coordination, and various strategic projects. The ideal candidate is bilingual in Japanese and English, detail-oriented, adaptable, professional, and able to handle confidential matters with discretion. Key Responsibilities Executive Support Manage complex calendars, meetings, and travel arrangements Attend meetings, take meeting notes, and follow up on action items Prepare presentations, reports, and correspondence in Japanese and English Handle confidential and sensitive information professionally Communication & Coordination Serve as a liaison between executives, clients, vendors, and internal teams Screen and prioritize emails, calls, and communications Support smooth communication across departments and international stakeholders Project & Office Coordination Assist with strategic projects and follow up on deliverables Coordinate company events and team activities Support office operations and vendor management Organize and maintain electronic and physical documents Research & Administrative Support Conduct research and prepare summary reports Translate and proofread documents as needed Support executives with additional administrative tasks Qualifications 5+ years of Executive Assistant, Executive Secretary, or high-level administrative support experience Native-level Japanese and strong English communication skills Excellent organizational and multitasking abilities Strong attention to detail and problem-solving skills Preferred Qualities Proactive and resourceful mindset Ability to anticipate executive needs Flexible and adaptable personality Strong sense of professionalism and confidentiality Comfortable supporting a busy executive schedule Why Join Us?
