Job Description
Reporting to the University Registrar, the Associate Registrar is the authorized keeper of College of Law student records and a member of the Office of the Registrar's senior leadership team, overseeing registrar functions for the College of Law, including record integrity, retention, and archiving strategy; registration and enrollment processes and systems; degree audits and certifications; and term processing, all within ABA-compliant academic rules unique to the College of Law.
The Associate Registrar ensures compliance with FERPA and other state and federal regulations, oversees bar certification submissions to state bar admissions offices, and works with College of Law leadership on Joint Degree programs and curriculum accuracy in the Course Catalog and degree audit system. The Associate Registrar supervises the support team, including the Assistant Registrar, and oversees short- and long-range planning for College of Law registrar functions. Education and Experience

- Bachelor's degree required, along with 7-10 years of progressive experience in a Registrar's Office or comparable higher education administrative role.
- A master's degree or significant graduate-level coursework in Higher Education, Information Management, or a related field is strongly preferred.
- Strong interpersonal, leadership, communication, and organizational skills, with proven ability to manage staff effectively, serve as an effective member of a senior leadership team, and work collaboratively across the College of Law and the University. Strong analytical, problem-solving, and customer service skills, with the ability to assess processes, evaluate problems, and propose and implement solutions and improvements.
- Significant experience working with senior-level staff and administration, preferably in a law school or higher education setting; interpreting, writing, and enforcing academic policies, including ABA, FERPA, and state bar compliance requirements; and working with data to develop reports, analyze trends, and present findings to senior administration.
- Proficiency in PeopleSoft or a comparable student information system is strongly preferred, along with experience using a degree audit system and records/document management systems (e.g., OnBase or comparable platforms). Demonstrated proficiency in Microsoft Office Suite, including Word, Excel, and Outlook, is required.
- Processes all leave of absence request and administrative withdrawals for College of Law students, ensuring accurate and timely updates to the academic record
- Evaluates class rank each fall and spring semester and Dean's List status each summer, fall, and spring semester, applying results accurately to the official student record to support transcript integrity.
- Compiles and analyzes academic data for the College of Law leadership to inform academic dismissal determinations
- Resolves escalated and sensitive student record cases requirements independent judgement and discretion
- Directs the maintenance and integrity of law student records within OnBase, ensuring accurate indexing and retrieval, and establishes and oversees the records retention schedule for College of Law student records to ensure compliance with institutional and legal requirements
- Assists with student records data requests for the College of Law, partnering with College of Law resources to determine appropriate ownership of the work, and produces requested data for requestors in compliance with Office of the Registrar and FERPA standards
- Directs the enrollment and registration process for the College of Law, managing enrollment appointments and the full registration timeline (e.g., class search availability, shopping cart open dates) to ensure a smooth student experience
- Develops and maintains the College of Law Academic Calendars, ensuring alignment with University deadlines and College of Law academic requirements
- Provides direct supervision, mentoring, and professional development to the Assistant Registrar, College of Law
- Allocates ticket and case volume equitably between self and the Assistant Registrar, assigning case types according to role and level of responsibility
- Oversees the petition workflow in Orange Tracker, processing tickets in partnership with the Assistant Registrar to ensure timely resolution
- Maintains comprehensive, current process documentation for College of Law Registrar operations to ensure continuity and consistency of service
- Leads the degree certification process for College of Law students, ensuring accuracy and timeliness, including evaluation of Latin Honors eligibility in accordance with College of Law rules
- Oversee the bar certification process in partnership with the Assistant Registrar, ensuring required documentation is completed accurately and submitted within regulatory deadlines, and communicate directly with individual state bar admissions offices as needed to resolve escalated cases
- Partners with College of Law leadership to provide accurate student data in support of commencement planning and execution
- Ensures all College of Law curriculum is accurately maintained and kept current within the institution's degree audit system
- Partners with the College of Law to ensure Joint Degree programs are established and maintained in compliance with New York State and University standards, and ensure Joint Degree requirements are accurately configured and kept current within the degree audit system
- Partners with the College of Law to ensure the University Course Catalog reflects current and accurate program information
