Base Pay $45,000.00 - $55,000.00 / Year Manage Others No Contact information Name Jonathan Morris Email View email address on click.appcast.io Primary Function of the Position The Enrollment Coordinator manages student enrollment operations, records accuracy, document compliance, and new scholar onboarding from application through enrollment. Under the supervision of the Manager of Family and Community Engagement, the Enrollment Coordinator serves as the operational link between family recruitment, student records compliance, and school-wide administrative setup. This role is responsible for maintaining accurate enrollment data in SchoolMint and Infinite Campus, managing required documentation, coordinating waitlists and seat offers, processing withdrawals and transfers, and helping ensure new families transition smoothly into the NMA community. The successful candidate will demonstrate strong organization, attention to detail, proactive problem-solving, cultural responsiveness, and a commitment to providing high-quality service to scholars and families. Position Responsibilities Application Processing and Student Records Process incoming student applications and maintain accurate enrollment information across SchoolMint and Infinite Campus. Manage student cumulative files and ensure official records from transferring schools are requested, received, and appropriately maintained. Assign and secure State Student Identification (MARSS) numbers for incoming scholars, including support for Kindergarten roster planning. Process student entries, withdrawals, and transfers and promptly communicate changes to relevant academic, IT, and operations staff. Maintain accurate and organized student enrollment records in accordance with school procedures and applicable requirements. Document Collection and Enrollment Compliance Manage the student enrollment document collection process, including birth certificates, immunization records, Early Childhood Screening documentation, and other required records. Conduct regular document audits to identify missing information and move families from accepted to fully enrolled status. Follow up consistently with families by phone, text, and email to resolve documentation barriers. Support families in understanding enrollment requirements and next steps. Maintain accurate documentation and records related to enrollment completion and compliance. Waitlist and Enrollment Management Monitor grade-level enrollment capacity and maintain grade-level waitlists in accordance with NMA policies and applicable charter school requirements. Conduct enrollment offer calls and send confirmation communications to prospective families. Track accepted offers and enrollment decisions accurately. Conduct summer outreach to enrolled families during June, July, and August to confirm continued enrollment and Day 1 attendance. Work proactively to reduce enrollment attrition between acceptance and the start of school. Cross-Departmental Coordination and Family Support Notify school leadership, IT, Facilities, Transportation, Food Services, and other appropriate departments when a new scholar is confirmed. Help coordinate operational readiness for new scholars, including classroom setup, devices, transportation, and meal-related systems. Partner with the Manager of Family and Community Engagement to align student recruitment efforts with enrollment and registration processes. Provide responsive, culturally competent customer service to prospective and enrolled families. Provide operational support to the front office, health office, transportation team, and other departments as needed. Demonstrate commitment to NMA’s Culture of Learning and provide professional, welcoming support to families and community members. Qualifications Associate degree in business administration, education administration, data management, or a related field required. Two to three years of experience in student enrollment, registrar work, school administrative operations, or a related field preferred. Experience using Student Information Systems such as Infinite Campus strongly preferred. Experience using enrollment platforms such as SchoolMint, PowerSchool, or similar systems preferred. Strong proficiency with Google Sheets and/or Microsoft Excel for data tracking, reconciliation, and reporting. Strong attention to detail, organization, and ability to manage multiple deadlines and priorities. Strong customer service and problem-solving skills. Ability to communicate professionally and effectively with families, staff, and community members. Demonstrated cultural responsiveness and commitment to serving NMA’s diverse community. Summary Compensation and Benefits Salary Range: $45,000–$55,000 annually Compensation will be based on qualifications and relevant experience.
