About Tom’s Waffles
Tom’s Waffles is one of Colorado’s fastest-growing event catering companies, serving private parties, schools, corporate events, festivals, and community gatherings across the state.
We specialize in creating memorable experiences through authentic Belgian Liège waffles made fresh on-site. Over the past several years, we have experienced rapid growth and are currently growing more than 300% year over year.
As we continue to expand, we are looking for an ambitious, highly organized, and people-focused leader to join our team and help build the next stage of the company.

The Opportunity
This is not simply an event coordinator role.
You will be responsible for owning the customer experience from the moment an event is booked until long after the event has concluded.
You will work directly with customers, staff members, and company leadership to ensure every event is properly staffed, fully prepared, and delivers an exceptional experience.
For the right person, this position offers significant career growth opportunities. As Tom’s Waffles continues to expand, we anticipate this role growing into a management position with increased leadership responsibilities and compensation.

Responsibilities
Event Staffing & Team Coordination
Staff all booked events with qualified Event Leads
Ensure event staffing is confirmed well in advance
Communicate event information to Event Leads
Resolve staffing challenges and last-minute schedule changes
Help maintain a reliable, professional event team
Customer Success & Relationship Management
Build strong relationships with event organizers
Conduct pre-event preparation calls
Help customers create successful events
Answer questions and resolve concerns
Serve as the primary point of contact for many event clients
Event Information Management
Ensure customers complete all required event details through their customer portal
Follow up on missing information including guest counts, timelines, venue details, parking instructions, and special requests
Maintain accurate records within company systems
Verify all event details prior to event execution
Customer Retention & Rebooking
Conduct post-event follow-up calls
Collect customer feedback
Drive repeat bookings and referrals
Build long-term relationships with event organizers
Identify opportunities for recurring business
Booking Management
Respond to inbound event inquiries
Guide prospective customers through the booking process
Confirm new bookings and contracts
Maintain an organized sales pipeline
Ensure leads receive prompt and professional communication

Base Salary
$60,000 per year
Performance Bonus
Up to $10,000 annually based on KPI achievement
