Statement of Work - Materials Coordinator
1. Purpose

The Materials Coordinator will provide dedicated material coordination support for engineering activities, development builds, prototypes, testing, and other project needs.

The Materials Coordinator will be responsible for ensuring engineering-purchased material is properly ordered, tracked, received, identified, organized, and made available to the appropriate engineering teams when needed.

The primary objective of this role is to improve material visibility, reduce delays caused by missing or misplaced parts, and provide clear ownership of engineering material from purchase request through receipt and storage.

2. Scope of Work

The Materials Coordinator will manage the day-to-day coordination of engineering-purchased material and serve as the primary point of contact for material status and location.

Material Ordering

• Coordinate purchase requests for engineering-required materials, components, tools, and supplies.
• Submit or coordinate purchase orders and requisitions in accordance with established purchasing processes.
• Follow up on incomplete or delayed purchase requests.
• Maintain visibility of open orders and expected delivery dates. Order Tracking
• Maintain an accurate tracking system for all engineering-purchased material.
• Track purchase orders from placement through delivery.
• Monitor supplier acknowledgements, committed delivery dates, shipment status, and expected arrival dates.
• Communicate material delays and potential schedule impacts to the responsible engineering teams. Material Receiving
• Coordinate receipt of engineering-purchased material.
• Identify discrepancies such as shortages, damaged material, incorrect parts, or missing documentation.
• Coordinate resolution of receiving issues with Engineering, Sourcing, Procurement, Suppliers, or other responsible functions.
• Ensure received material is properly identified and associated with the correct project, engineer, or activity. Material Organization and Storage
• Establish and maintain an organized storage area for engineering-purchased material.
• Ensure material is clearly labeled and identifiable. Material Availability and Distribution
• Coordinate with engineers and project teams to ensure required material is available when needed.
• Notify responsible individuals when material has been received and is ready for use.. 3. Deliverables
  The Materials Coordinator will provide and maintain:
• Current engineering material order tracker.
• Accurate purchase order and delivery status.
• Visibility of overdue or at-risk material.
• Records of received material and material location.
• Organized and clearly identified engineering material storage areas.
• Notification to engineering teams when material is received and available.
• Tracking of material discrepancies and resolution activities.
• Periodic identification of obsolete, excess, or unclaimed engineering material. 5. Performance Expectations
  Performance of the Materials Coordinator will be evaluated based on:
• Accuracy and completeness of material tracking.
• Timely placement and follow-up of engineering material orders.
• Visibility of material status and expected delivery dates.
• Reduction in lost, misplaced, or unidentified engineering material.
• Timely communication of supplier or delivery issues.
• Organization and cleanliness of engineering material storage areas.
• Accuracy of received quantities and material identification.
• Availability of required material in support of engineering schedules.
• Responsiveness to engineering material needs.
• Effective coordination with Engineering, Procurement, Suppliers, and Receiving. 6. Role Boundaries
  The Materials Coordinator is responsible for coordinating and managing the flow of engineering-purchased material but does not replace the technical, sourcing, procurement, or quality responsibilities of the appropriate functions.
  Engineering remains responsible for defining technical requirements and selecting appropriate materials or components.
  Sourcing and Procurement remain responsible for supplier commercial agreements, purchasing authority, and other activities governed by established procurement processes.
  7. Expected Working Method
  The Materials Coordinator is expected to take active ownership of engineering material from the time a purchase need is identified through receipt, organization, and availability for use.
  The Materials Coordinator is expected to:
• Proactively follow up on open orders.
• Identify potential material shortages before they affect engineering schedules.
• Maintain clear visibility of where engineering material is located.
• Keep engineering storage areas organized and controlled.
• Communicate delays, discrepancies, and shortages promptly.
• Work directly with engineers and supporting functions to resolve material issues.
• Ensure received material reaches the correct engineering team or activity.

The overall expectation is that the Materials Coordinator will provide a single point of coordination and visibility for engineering-purchased material , allowing engineers to focus on technical work while ensuring required material is ordered, delivered, organized, and available when needed.
