Reports To: Executive Director of Human Resources

Pay Classification: 130 (Minimum Starting: $42,800)

FLSA Status: Non-Exempt

Job Summary : The Human Resources Assistant provides comprehensive administrative and operational support to the Human Resources department. This position is responsible for maintaining personnel records, supporting HR systems and departmental operations, coordinating administrative processes and programs, and providing professional customer service while maintaining confidentiality and ensuring compliance with institutional policies and procedures.

Minimum Required

Education: High school diploma or equivalent.

Preferred: Associate degree

Minimum Required

Experience: Preferred: One (1) to two (2) years of experience in Human Resources or a related administrative role.


Core Duties and


Required Knowledge: Perform general administrative support functions including scheduling, filing, correspondence, records maintenance, and customer service.

Maintain employee, former employee, applicant, and student employee personnel files in accordance with record retention requirements.

Lead document imaging and records retention processes using Docubase or similar systems.

Maintain and organize HR records and documentation to support departmental operations and compliance.

Assist with administrative processes related to onboarding, employee changes, personnel actions, and other employment transactions.

Process and maintain departmental forms, correspondence, reports, and other HR documentation.

Submit and track maintenance and IT work orders for the department.

Coordinate and maintain the Employee Service Awards recognition program.

Provide administrative support for HR meetings, events, orientations, and departmental activities.

Maintain supplies, resources, and other administrative needs of the Human Resources department.

Provide administrative support to the Executive Director of Human Resources and other HR staff as needed.

Assist with the administrative coordination of onboarding activities and other employee services.

Apply working knowledge of human resources practices, policies, procedures, and records requirements.

Program Development: Support departmental initiatives that improve administrative efficiency, records management, and HR service delivery.

Assist in maintaining accurate HR documentation and systems that support institutional compliance and workforce planning.

Contribute to continuous improvement of HR administrative processes and procedures.

Support the development and implementation of administrative processes that improve the employee experience.

Collaboration: Work collaboratively with HR staff, college leadership, faculty, and staff.

Serve as a professional point of contact for employees, applicants, visitors, and other members of the college community regarding administrative HR matters.

Coordinate with internal departments to support onboarding, employee services, records management, and other HR operations.

Provide timely and professional administrative support to HR staff and college departments.

Other Information: Travel between Hill College campuses may be required.

Must possess a valid Texas driver's license.

Performs other duties as assigned.

Participates in cross-training across Human Resources functions and positions to ensure continuity of departmental operations and provide support and coverage as needed.

Occasional adjustments to normal work hours, including early arrival or staying beyond normal business hours, may be required to meet departmental operational needs.

Physical Requirements: Light work; exerting up to 20 pounds of force occasionally and/or a negligible amount of force constantly to lift, carry, push, pull or otherwise move objects, including the human body. The use of arm and/or leg controls requires exertion of force greater than that for sedentary work.
