Job Description

The incumbent is designated by the Agency to provide oversight of the property control system. The work includes facility management for the Agency. The work involves interfacing with various department/ component directors and staff to ensure compliance with established policies, procedures, and operational guidelines. The work is performed under the general supervision of an administrative superior. Supervision is exercised over a janitorial staff and several contracted service providers.

Essentials Functions

These essential functions include, but are not limited to, the following. Additional essential functions may be identified and included by the Agency.

Reviews copies of requests/ purchase orders routed by the Director of Purchasing & Procurement as a notification of what property items & quantities have been ordered & when they are due in.

Compares the items received against the purchase orders & receiving documents.

Affixing of coded identification tags on items to keep track of verification & updating records.

Enters information for each asset in the GMS-maintained fixed-assets subsidiary ledger.

Reconciles fixed assets subsidiary ledger with vouchers, year-to-date special transaction listings, & general ledger for the purchase price. Resolves any differences with the Chief Financial Officer.

Maintains a history of each asset acquired to include code, description, purchase date, purchase price, voucher, grant, classification, funding, location, employee assigned, & inventory date.

Maintains control of the authorized movement of property from one location to another by using transfer & accountability forms and/or making entries to the GMS fixed asset subsidiary ledger.

Conducts an annual physical inventory. Resolves discrepancies with assigned users of assets.

Requests disposal of assets no longer needed. Reclassifies property as disposed of in the fixed assets subsidiary ledger. Coordinates the physical transfer of property from the Agency's accountability.

Coordinates maintenance & repair of alarm, electrical, plumbing, heating, ventilation, & air-conditioning systems, as well as carpentry, painting, housekeeping, grounds keeping, pest control, trash removal, moving, & security services at the Agency's Central Office.

Qualifications

Graduation from an accredited four-year college or university with a major in business administration or accounting and four (4) years of successful employment in work related to the above-described duties.

Special Requirements

Applicant must:

• Manual dexterity skills.

• Ability to lift 50 pounds infrequently.
